Join our dynamic healthcare team as a Medical Receptionist, where you will be the welcoming face and organized coordinator for our busy medical practice. This vital role combines exceptional patient service with efficient administrative support, ensuring smooth clinic operations and a positive experience for every patient. NOTICE: Please keep in mind that we have 2 locations, one in The Woodlands next to Memorial Hermann and the other close to 610 and Ella next to Memorial Hermann. We travel WITH OUR DOCTOR. We are in The Woodlands on Mondays, Thursdays and Fridays, and in Houston on Tuesdays and Wednesdays. Staff members are expected to be able to work at both locations. We close at 3 pm on Fridays.

Responsibilities

  • Greet patients warmly, verify their appointment details, and assist with check-in procedures using Electronic Health Record (EHR) system eClinicalWorks.
  • Schedule patient appointments accurately, coordinate follow-up visits, and manage calendar
  • Verify insurance coverage, perform insurance eligibility checks, and handle insurance verification processes in compliance with health insurance policies.
  • Collect and process payments, including copayments and outstanding balances, utilizing medical billing and collection procedures.
  • Manage patient records by updating medical information, reviewing documentation for accuracy, and ensuring compliance with HIPAA confidentiality policies.
  • Answer multi-line phone systems professionally, providing excellent customer service while addressing inquiries about appointments, billing, or medical records.
  • Maintain a clean and organized front desk area, file medical records securely, and support administrative tasks such as data entry and filing using Microsoft Office tools.
  • Assist with clinical documentation review, CPT coding, ICD-9/10 coding for billing purposes, and ensure accurate recordkeeping for care plans and treatment documentation.

Experience

  • Proven experience as a Medical Receptionist or in a similar medical administrative support role within clinics or healthcare settings.
  • Familiarity with EMR/EHR systems such as Epic, Meditech, Athenahealth or eClinicalWorks is highly preferred.
  • Strong knowledge of health insurance processes including Medicare, Medicaid, health information management, and insurance verification procedures.
  • Excellent computer skills with proficiency in Microsoft Office applications; experience with dental office software like Dentrix or Eaglesoft is a plus.
  • Demonstrated ability to handle sensitive patient information in accordance with HIPAA regulations and clinical confidentiality policies.
  • Bilingual abilities are highly desirable to serve diverse patient populations effectively.
  • Exceptional phone etiquette, organizational skills, and attention to detail to manage scheduling and administrative tasks efficiently.
