Position Summary
The Front Desk Medical Receptionist is responsible for creating a welcoming environment for patients while ensuring the efficient daily operation of the front office. This position manages patient scheduling, registration, insurance verification, and administrative support to help provide excellent patient care and customer service.
Essential Duties and Responsibilities
- Greet patients, families, and visitors in a professional and friendly manner.
- Answer and direct incoming phone calls.
- Schedule, reschedule, and confirm patient appointments.
- Register new patients and update existing patient demographics.
- Verify insurance eligibility, benefits, and obtain prior authorizations when required.
- Collect copays, deductibles, and outstanding patient balances.
- Maintain accurate electronic medical records (EMR).
- Scan and upload patient documents, referrals, and physician orders.
- Coordinate communication with physicians’ offices, insurance companies, and patients.
- Monitor daily appointment schedules and assist with patient flow.
- Ensure patient privacy and maintain HIPAA compliance.
- Process incoming and outgoing faxes, emails, and mail.
- Maintain a clean, organized, and professional reception area.
- Assist therapists and office staff with administrative tasks as needed.
Qualifications
- High school diploma or GED required.
- Previous medical receptionist or healthcare office experience preferred.
- Experience in a physical therapy, orthopedic, or rehabilitation clinic is a plus.
- Knowledge of medical terminology and insurance verification preferred.
- Proficiency with Microsoft Office and electronic medical record (EMR) systems.
- Strong organizational, multitasking, and time-management skills.
- Excellent verbal and written communication skills.
- Professional appearance and positive attitude.

Physical Requirements

Typical Work Schedule
- Monday through Friday
- Day shift (may include occasional evening hours depending on clinic needs)
- Full-time or part-time positions available
Preferred Experience
- 1–2 years of medical office or front desk experience
- Familiarity with EMR systems (e.g., WebPT, Epic, Athenahealth, or similar)
- Experience with insurance verification, referrals, and patient scheduling
- Cash handling and payment collection experience
