The Medical Office Receptionist serves as the first point of contact for patients and visitors. This role is responsible for managing front desk operations, scheduling appointments, handling patient communications, verifying insurance information, and maintaining accurate patient records while providing excellent customer service in a fast-paced healthcare environment.
Key Responsibilities
Patient Interaction
- Greet patients and visitors in a professional and courteous manner
- Check patients in and out for appointments
- Verify patient demographic and insurance information
- Answer incoming phone calls and direct them appropriately
- Respond to patient inquiries regarding appointments, paperwork, and office policies
Appointment Scheduling
- Schedule, reschedule, and confirm patient appointments
- Coordinate provider schedules and manage appointment calendars
- Send appointment reminders and follow-ups when necessary
Administrative Duties
- Maintain and update patient records in the electronic medical records system
- Collect co-pays, payments, and outstanding balances
- Process patient forms, referrals, and authorizations
- Scan, file, and organize medical documents
Insurance and Billing Support
- Verify insurance eligibility and benefits
- Communicate with patients regarding billing questions when appropriate
- Assist billing staff with documentation as needed
Office Operations
- Maintain cleanliness and organization of the front desk and waiting area
- Ensure patient confidentiality and compliance with privacy regulations such as Health Insurance Portability and Accountability Act (HIPAA)
- Assist office staff with administrative tasks as needed
Required Qualifications
- High school diploma or equivalent
- Previous receptionist, administrative, or customer service experience
- Strong communication and interpersonal skills
- Basic computer skills and familiarity with office software

- Experience with electronic medical record (EMR) systems

Independent Contractor Notice: This opportunity is offered as an independent contractor (1099) position for forty hours per week. Compensation is paid at an hourly rate between $16.00 and $17.00 per hour, based on experience. Contractors are responsible for their own taxes and business expenses in accordance with guidelines from the Internal Revenue Service.
