Position Summary
We are seeking a compassionate, organized, and professional Medical Oncology Receptionist to join our busy oncology practice. The ideal candidate will provide exceptional customer service to patients and caregivers while managing a high-volume front desk environment. This role requires excellent communication skills, attention to detail, and the ability to multitask in a fast-paced medical office.
Essential Duties and Responsibilities
Patient Reception & Customer Service
- Greet patients, visitors, and vendors in a professional and compassionate manner.
- Check patients in and out for appointments.
- Verify patient demographics, insurance information, and required documentation.
- Collect copays, deductibles, and outstanding balances.
- Assist patients with forms, referrals, and general office inquiries.
- Provide exceptional customer service to patients and family members during sensitive situations.
Appointment Scheduling
- Schedule, reschedule, and confirm patient appointments.
- Coordinate new patient consultations, follow-up visits, and treatment appointments.
- Maintain accurate scheduling records and communicate appointment changes promptly.
Telephone & Communication Management
- Answer and direct a high volume of incoming phone calls.
- Take accurate messages and route calls to appropriate staff members.
- Respond to patient inquiries regarding appointments, referrals, and office policies.
- Utilize electronic messaging systems to communicate with providers and clinical staff.
Administrative Responsibilities
- Scan, upload, and index patient documents into the electronic medical record (EMR).
- Maintain patient confidentiality in accordance with HIPAA regulations.
- Process incoming faxes, referrals, and medical records.
- Ensure accuracy of patient records and demographic information.
- Perform general clerical duties including filing, copying, and data entry.
Qualifications
Required
- High school diploma or equivalent.
- Minimum 1 year of medical office or healthcare reception experience.
- Proficiency with Microsoft Office applications.
- Strong verbal and written communication skills.
- Excellent organizational and multitasking abilities.
- Ability to maintain confidentiality and professionalism.
Preferred
- Experience in oncology, hematology, or specialty medical practice.
- Knowledge of medical terminology.
- Experience with EMR systems and practice management software.
- Understanding of insurance verification and authorization processes.
- Bilingual (English/Spanish) preferred.
