Position Summary

We are seeking a compassionate, organized, and professional Medical Oncology Receptionist to join our busy oncology practice. The ideal candidate will provide exceptional customer service to patients and caregivers while managing a high-volume front desk environment. This role requires excellent communication skills, attention to detail, and the ability to multitask in a fast-paced medical office.

Essential Duties and Responsibilities

Patient Reception & Customer Service

  • Greet patients, visitors, and vendors in a professional and compassionate manner.
  • Check patients in and out for appointments.
  • Verify patient demographics, insurance information, and required documentation.
  • Collect copays, deductibles, and outstanding balances.
  • Assist patients with forms, referrals, and general office inquiries.
  • Provide exceptional customer service to patients and family members during sensitive situations.

Appointment Scheduling

  • Schedule, reschedule, and confirm patient appointments.
  • Coordinate new patient consultations, follow-up visits, and treatment appointments.
  • Maintain accurate scheduling records and communicate appointment changes promptly.

Telephone & Communication Management

  • Answer and direct a high volume of incoming phone calls.
  • Take accurate messages and route calls to appropriate staff members.
  • Respond to patient inquiries regarding appointments, referrals, and office policies.
  • Utilize electronic messaging systems to communicate with providers and clinical staff.

Administrative Responsibilities

  • Scan, upload, and index patient documents into the electronic medical record (EMR).
  • Maintain patient confidentiality in accordance with HIPAA regulations.
  • Process incoming faxes, referrals, and medical records.
  • Ensure accuracy of patient records and demographic information.
  • Perform general clerical duties including filing, copying, and data entry.

Qualifications

Required

  • High school diploma or equivalent.
  • Minimum 1 year of medical office or healthcare reception experience.
  • Proficiency with Microsoft Office applications.
  • Strong verbal and written communication skills.
  • Excellent organizational and multitasking abilities.
  • Ability to maintain confidentiality and professionalism.

Preferred

  • Experience in oncology, hematology, or specialty medical practice.
  • Knowledge of medical terminology.
  • Experience with EMR systems and practice management software.
  • Understanding of insurance verification and authorization processes.
  • Bilingual (English/Spanish) preferred.
