Position: Medical Office Assistant/Receptionist, Urgent Primary Care Centre

CAD $27.26 – $29.16 / hour

Detailed Overview

Reporting to the Manager, Clinical Operations or designate, this position provides administrative day-to-day support to the Urgent Primary Care Centre (UPCC or Centre), and as the first point of contact with clients and their families, provides a key role in ensuring a safe and welcoming environment for all individuals through a positive, customer‑service oriented and client‑focused approach. The Centre provides urgent care to clients and longitudinal primary care to unattached vulnerable clients in the assigned area.

The Centre supplies clients, families and caregivers with ease of access to timely, person‑centred, continuous and culturally safe quality health services. Duties include front desk reception with direct client interaction, registering new clients, booking appointments and referrals, maintaining charts and databases, typing material, setting up filing systems, processing mail and reports, arranging meetings and special functions, and operating office equipment.

Responsibilities

  • Operate a multi‑line switchboard or phone, register new patients, book appointments, follow up on physician/nurse practitioner orders regarding referrals and diagnostic tests, and answer/direct incoming calls for staff.
  • Prepare correspondence, reports and documents, input client information into software, and maintain registers.
  • Assist clients to feel safe and at ease through a welcoming, client‑centered approach.
  • Collect and enter data into computerized systems, compile and retrieve information, and print reports.
  • Maintain client and administrative filing systems, label files, develop forms and index materials.
  • Process incoming and outgoing mail, faxes, reports, and internal documents, including shipping and receipt of packages.
  • Process financial information: payroll, accounts receivable/payable, billing, and invoicing.
  • Perform staffing and time‑keeping functions, track hours worked, and review timesheets.
  • Maintain office supplies and resources, issue requisitions, and forward approvals.
  • Arrange meetings and special functions, book rooms, arrange catering, send invitations, and circulate minutes.
  • Operate office equipment, perform minor maintenance, and refer further maintenance to the Manager.
  • Liaise with health care and social service organizations and general practitioner offices for program information.
  • Clean and organize office supply areas, clinic rooms, and medical equipment as assigned.
  • Perform other related duties as assigned.

Qualifications

Grade 12, plus completion of a Medical Office Assistant diploma plus one year of recent related office/clerical experience or an equivalent combination of education, training and experience.

  • Type 40 wpm.
