Legal Secretary
The Legal Secretary will provide dedicated, high-level administrative and legal support to a senior Partner within the Trusts, Estates & Tax practice. This is an excellent opportunity to become a trusted member of a highly regarded private client team, supporting a busy practice that advises high-net-worth individuals, families and fiduciaries on estate planning, trust administration and tax matters.
The successful candidate will enjoy building a close working relationship with one Partner, acting as their primary support whilst delivering exceptional service to clients and ensuring the smooth day-to-day running of the practice.
Roles & Responsibilities
Dedicated Partner Support
- Act as the primary Legal Secretary to a senior Partner within the Trusts, Estates & Tax practice.
- Build a strong working relationship with the Partner, anticipating priorities and proactively managing day-to-day administrative requirements.
- Manage a busy calendar, arranging meetings, client appointments and conference calls.
- Coordinate domestic travel and process expenses where required.
- Prepare, amend, proofread and finalise correspondence, legal documents and client communications.
- Prioritise incoming emails, calls and correspondence, ensuring matters are dealt with efficiently and confidentially.
- Liaise professionally with clients, trustees, accountants, financial advisers and other professional contacts.
Trusts, Estates & Tax Support
- Prepare and format wills, trusts, powers of attorney and estate planning documentation.
- Assist with probate and estate administration documentation.
- Prepare engagement letters, client communications and supporting documentation.
- Coordinate execution of legal documents and maintain accurate client files.
- Assist with new matter opening, conflict checks and client onboarding.
- Maintain organised electronic and physical filing systems in accordance with firm procedures.
Practice Management
- Assist with billing, time entry and expense processing.
- Monitor key deadlines and ensure the Partner’s practice is organised and running efficiently.
- Coordinate meetings, conference rooms and client hospitality.
- Work closely with other members of the Private Client team to provide additional support where required.
- Maintain the highest levels of professionalism, discretion and client service.
Skills & Experience
- Significant experience as a Legal Secretary supporting senior Partners within a law firm.
- Previous experience supporting a Trusts & Estates, Estate Planning, Private Client or Tax practice is strongly preferred.
- Experience working in a one-to-one Partner support role would be highly advantageous.
- Excellent document production and proofreading skills.
- Strong organisational skills with the ability to anticipate the needs of a busy Partner.
- Experience managing confidential client information with professionalism and discretion.
- Strong knowledge of Microsoft Office and legal document management systems.
- Experience with billing, matter management and time recording systems is desirable.

Pay: $80,000.00 – $110,000.00 per year
