Responsibilities

  • Greet visitors, clients, and staff warmly, ensuring a professional and friendly first impression at all times
  • Manage multi-line phone systems, screen calls, and direct inquiries efficiently to the appropriate departments or personnel
  • Handle scheduling and calendar management for meetings, appointments, and events using tools like Google Workspace or Microsoft Office
  • Maintain organized filing systems, perform data entry tasks, and ensure accurate record keeping with attention to detail. Knowledge of Quickbooks is a plus.
  • Assist with clerical duties such as proofreading documents, preparing correspondence, and managing incoming/outgoing mail
  • Support office management tasks including supply inventory, equipment maintenance, and general administrative support
  • Provide exceptional customer service by addressing inquiries promptly and courteously in person or via phone or email

Requirements

  • Proven experience in office administration or front desk roles with strong organizational skills
  • Proficiency in computer literacy including Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace tools
  • Excellent phone etiquette with experience managing multi-line phone systems and providing customer support
  • Familiarity with QuickBooks or bookkeeping experience is a plus for handling basic financial tasks
  • Strong typing skills with attention to detail for data entry and proofreading responsibilities
  • Exceptional time management skills to prioritize tasks efficiently in a fast-paced environment
