Appellate law firm is seeking a full-time legal assistant/legal secretary with at least 3 years legal secretarial experience. This is an excellent opportunity for a professional, well-qualified candidate to join a highly regarded midsize law firm with a collegial atmosphere.

Position Summary
The Legal Assistant/Secretary provides administrative and legal support to attorneys, helping ensure efficient workflow and compliance with court requirements.

Key Responsibilities

  • Provide administrative support to attorneys, including managing calendars, tracking deadlines, and coordinating court filings
  • Assist in drafting and formatting appellate briefs, motions, and other legal documents, ensuring compliance with court rules and procedures
  • Prepare and file documents with courts, including briefs, motions, petitions, and other filings
  • Conduct legal research using online databases and resources to support attorneys in case preparation and strategy
  • Coordinate with attorneys and court personnel to gather information, schedule meetings, and ensure timely filing and service of documents
  • Assist in organizing and maintaining case files on iManage, ensuring all documents and correspondence are accurately filed and accessible
  • Assist attorneys in preparing for oral arguments
  • Track billable hours, expenses, and client account activity
  • Stay updated on changes in appellate rules, procedures, and case law
  • Maintain confidentiality and discretion in handling sensitive matters and client information
  • Other responsibilities that may be identified and/or assigned as necessary

Required Qualifications

  • Knowledge of legal document formatting
  • Familiarity with state and federal court filing procedures
  • Strong attention to detail and accuracy
  • Proficiency with Microsoft Office and legal document management systems
  • Excellent written and verbal communication skills

Education and Experience

  • High school diploma or equivalent
  • At least 3 years of experience as a legal assistant or legal secretary, preferably in appellate litigation

Physical Requirements

  • Must be able to lift and carry items up to 15 pounds at times
  • Prolonged periods of sitting at a desk and working on a computer
  • Must be able to stand, sit, talk, hear, reach, stoop, kneel and use hands and fingers to operate a computer, telephone and keyboard
  • Must be able to work in a confined area for extended periods of time
