Position Overview

Jefferson Law Center is seeking a highly organized, dependable, and motivated Legal Administrative Assistant to support our attorneys and paralegals in the day-to-day operations of our busy plaintiff’s medical malpractice and personal injury practice.

This position is ideal for someone who enjoys staying organized, solving problems, working with people, and helping keep a fast-paced office running efficiently. Every day brings something different, making this a rewarding opportunity for someone who thrives in a collaborative environment.

Primary Responsibilities

Responsibilities include, but are not limited to:

  • Manage the firm’s calendar by scheduling client meetings, depositions, expert witness meetings, court appearances, and other important events.
  • Coordinate new client intake calls and prepare intake information for attorney review.
  • Serve as the primary point of contact for conference, seminar, webinar, gala, and continuing legal education registrations.
  • Order and maintain office supplies while monitoring inventory and vendor relationships.
  • Coordinate maintenance and repairs for office equipment, including printers, phones, computers, and other technology.
  • Maintain expert witness files, including fee schedules, tax documentation, curriculum vitae, engagement information, and related materials.
  • Coordinate with expert witnesses to ensure they receive the records and materials necessary for case review.
  • Track firm invoices and assist with ensuring bills are processed and paid promptly.
  • Prepare agendas and materials for internal office meetings.
  • Assist with maintaining the firm’s website and social media presence.
  • Sort and distribute incoming mail and deliveries.
  • Provide general administrative support to attorneys and paralegals as needed.
  • Assist with special projects and other office initiatives that help the firm operate efficiently.

Qualifications

The ideal candidate will possess:

  • High school diploma or equivalent required.
  • Previous administrative, office assistant, customer service, or legal office experience preferred, but not required.
  • Outstanding communication and interpersonal skills with the ability to interact professionally with clients, attorneys, court personnel, medical providers, and experts.
  • Excellent organizational skills with exceptional attention to detail.
  • Strong time management skills and the ability to prioritize multiple tasks in a fast-paced environment.
  • Proficiency with Microsoft Office (Word, Outlook, Excel, and Teams).
  • Experience with Clio or other legal case management software is a plus.
  • Familiarity with Michigan courts or the legal field is helpful, but not required.
  • Ability to maintain strict confidentiality and handle sensitive client and medical information with professionalism and discretion.
  • A positive attitude, willingness to learn, and a team-first mentality.
