About This Position
The HR Administrative Assistant provides day-to-day administrative support to the Human Resources department. This role handles a wide range of HR functions including recruitment coordination, onboarding, recordkeeping, benefits administration support, and general HR office administration. The ideal candidate is organized, detail-oriented, discreet, and eager to support Casa Familiar’s mission and the community it serves.
Key Responsibilities
Personnel & Recordkeeping
- Ensures current, accurate job descriptions are on file for all employees; works with the HR Director to draft job descriptions for new positions.
- Maintains accurate digital and physical personnel files, ensuring records are complete, current, and securely stored.
- Maintains records of employee attendance and leave.
- Serves as a point of contact for employees, providing timely and professional resolution to HR-related questions.
- Monitors and restocks office supplies and materials for the HR department.
Recruitment & Onboarding
- Supports recruitment efforts, including posting job openings, screening resumes, scheduling interviews, and preparing offer letters.
- Coordinates new-hire onboarding, including scheduling orientation, reserving space, and ensuring new hires receive necessary information and materials.
- Coordinates training and development sessions for new and current employees, including logistics and vendor coordination.
Payroll Support
- Assists with payroll functions, including processing support, answering employee questions, and helping resolve payroll discrepancies.
- Creates and manages timesheets; audits timesheets for accuracy.
- Prints and distributes pay stubs as requested by management.
Benefits & Safety
- Supports benefits administration, particularly during open enrollment, and helps ensure benefit documentation is complete.
- Assists in preparing HR data and materials for All-Staff meetings and department reporting.
- Assists in maintaining workplace safety guidelines, procedures, and policies, and proactively identifies opportunities for improvement.
General HR Administration
- Performs routine clerical duties, including screening calls, maintaining calendars, scheduling meetings, and data entry.
- Assists with planning and execution of HR-related events (benefits enrollment, all-staff meetings, employee recognition, holiday events).
- Maintains calendars for the HR management team.
- Performs other HR-related duties as assigned.
Education & Experience
- High school diploma or equivalent required; Associate’s or Bachelor’s degree in a related field preferred.
- Minimum of 1–3 years of administrative experience, preferably in an HR setting, or an equivalent combination of education and experience.
- Prior experience in an HR Assistant role, preferably within a nonprofit or similar environment, preferred.
- Minimum of one year working in a customer-service-oriented environment.
- Working knowledge of employment laws is desirable.
Qualifications
- Excellent professional written and verbal communication and interpersonal skills.
- Proficiency in Word, Excel, PowerPoint, and email.
- High level of confidentiality and discretion required.
- Ability to manage multiple tasks, prioritize, and meet deadlines.
- Familiarity with HRIS and common HR applications.
- Understanding of employment laws and industry-specific regulations.
- Strong organizational and time-management skills.
- Valid Driver’s License required, with a driving record that meets Casa Familiar’s insurance requirements.
- English required. Bilingual (Spanish) strongly preferred.
Physical Requirements & Work Conditions
This position requires sitting at a desk or workstation, walking, standing, climbing stairs, hearing, speaking, and the ability to lift up to 25 lbs. Some driving between locations and occasional evening/weekend work may be required depending on the organizational calendar. A background check is required. In compliance with federal law, all persons hired must verify identity and employment eligibility in the United States.
