Job Summary:

As a Front Desk Administrative Assistant, your primary role is to ensure a positive, efficient experience for patients visiting our dental office. Your responsibilities will include greeting and assisting patients, answering phone calls, scheduling appointments, verifying insurance, and maintaining accurate records. You will serve as the patients’ initial point of contact, ensuring a welcoming and organized environment. This position may require travel to our other Great Smiles locations to support team needs.

Qualifications:

  • Previous experience in a dental or healthcare setting is preferred.
  • Good knowledge of common dental terminologies.
  • Familiarity with insurance billing.

Knowledge, Skills, and Abilities:

  • Strong organizational, attention to detail, and multitasking abilities.
  • Must be able to take initiative.
  • Excellent communication and interpersonal skills; outgoing, friendly, and smiling.
  • Outstanding customer relations skills to effectively handle clients from diverse backgrounds.
  • Proficient mobile and computer skills; Edge and Dolphin software experience is a plus.
  • Understanding of privacy regulations and the importance of maintaining patient confidentiality.

ESSENTIAL FUNCTIONS

  • Welcome patients and clients as they arrive at the office, creating a friendly and professional atmosphere, and notify the clinical staff of the patient’s arrival.
  • Obtain updated demographic and insurance information from patients and update it in their records.
  • Collect a copy of the patient’s insurance card/information, verify insurance, and provide it to the insurance coordinator for input into the dental system.
  • Handling telephone calls, faxes, emails, and mail.
  • Respond to patient inquiries and provide information about clinic activities, directing them to relevant individuals for further clarification.
  • Arrange and prioritize appointments for patients’ needs with the balance of the clinic and communicate with doctors, Dental Assistants, and Hygienists about cancellations.
  • Check patients out financially at the end of the appointment, and coordinate with the Treatment Care Coordinator to schedule a follow-up appointment.
  • Payment processing: Handle patient payments accurately, including cash, checks, credit/debit cards, and insurance coverage, ensuring the integrity of the financial transactions.
  • Ensure procedures are coded and charged correctly and file insurance claims as needed.
  • Address billing inquiries: Address patient inquiries regarding billing statements, insurance coverage, and payment plans, and ensure guarantor information is entered.
  • Assist patients in completing medical forms accurately to avoid errors or incorrect information.
  • Confirm appointments and recalls according to office protocol and contact patients who fail to show up for their appointments.
  • Ensures the cleanliness and proper stocking of the foyer, lobby, and office area.
  • Adhere to HIPAA regulations to safeguard patient confidentiality.
  • Perform other duties as assigned by the Doctor or Site Manager.
