We are seeking a dynamic and highly organized General Office Administrator to join our team! As the backbone of our administrative functions, you will coordinate daily activities, manage communications, oversee vendor relationships, and support various departments to foster an efficient and welcoming workplace. Duties

  • Manage front desk operations, including greeting visitors, answering multi-line phone systems, and directing calls with excellent phone etiquette
  • Oversee schedule management for staff, meetings, and appointments to ensure optimal time utilization
  • Coordinate event planning activities such as meetings, trainings, and company functions to promote team engagement
  • Supervise administrative staff and provide training & development opportunities to enhance team performance
  • Handle bookkeeping tasks using QuickBooks, including invoicing, expense tracking, and basic payroll processing
  • Maintain accurate filing systems—both digital and physical—and ensure confidentiality of sensitive information
  • Support human resources functions such as onboarding new employees, managing personnel records, and assisting with employee relations
  • Oversee vendor management by coordinating service providers, negotiating contracts, and ensuring timely deliveries
  • Assist with office management duties including budgeting, supply procurement, and maintaining a clean, organized workspace
  • Support medical office management tasks if applicable, including appointment scheduling and patient record keeping

Skills

  • Exceptional communication skills with the ability to interact professionally across all levels of the organization
  • Strong organizational skills with keen attention to detail for effective calendar management and filing systems
  • Proven experience in office administration or clerical roles with familiarity in office experience or medical office management preferred
  • Supervising experience with the ability to lead teams effectively in a fast-paced environment
  • Proficiency in QuickBooks for bookkeeping and payroll tasks; experience with budgeting is a plus
  • Knowledge of event planning and vendor management to coordinate company functions smoothly
  • Ability to handle multiple priorities simultaneously while maintaining professionalism and efficiency
  • Excellent phone etiquette skills combined with experience managing multi-line phone systems
  • Familiarity with human resources processes including training & development and employee onboarding

Pay: $24.28 – $29.24 per hour
