We are seeking a Front Office Administrator / Patient Experience Coordinator who will be the polished, professional voice and face of the practice, and a key driver of treatment acceptance, operational excellence, and an outstanding patient journey.
Position Summary
This is a full-time, on-site role responsible for managing the entire patient experience from first contact through treatment completion and follow-up.
The ideal candidate brings a concierge-level communication style, strong dental front office experience, a deep understanding of insurance and financial coordination, and the ability to manage multiple systems with precision and consistency.
Core Responsibilities
* Serve as the primary point of contact for patients, delivering a polished, high-end, concierge experience
* Manage phone, email, and text communication with professionalism and responsiveness
* Coordinate scheduling efficiently, including new patients, follow-ups, treatment sequencing, and last-minute adjustments
* Present treatment plans clearly and confidently, including financial discussions and payment options
* Perform insurance verification and detailed benefit breakdowns before appointments
* Handle financial coordination, co-pays, collections, and payment plans
* Maintain accurate records in Dentrix and related systems
* Manage multiple systems (Dentrix, insurance portals, communication tools) with consistency and accuracy
* Track and follow up on treatment plans, recalls, and outstanding balances
* Coordinate with clinical team, labs, and referrals to ensure smooth case execution
* Execute office systems and protocols consistently and reliably
* Maintain strict confidentiality and professionalism at all times
Required Skills and Qualifications
* Exceptional patient communication skills with a polished, concierge tone
* Strong treatment presentation and financial coordination experience
* High-level scheduling efficiency and problem-solving ability
* Strong attention to detail and consistent follow-through
* Ability to manage multiple systems simultaneously (Dentrix required)
* Strong knowledge of dental insurance, especially PPO and out-of-network
* Experience with treatment plan acceptance and follow-up workflows
* Strong written and verbal communication skills
* Ability to work in a fast-paced, high-end service environment
Preferred Qualifications
* Prior dental front office experience strongly preferred
* Experience in PPO and out-of-network dental offices
* Experience in high-end or service-oriented environments
* 2+ years of relevant front office experience
* Proven success in improving treatment acceptance and collections

Compensation and Benefits
* Base Salary: $75,000–$85,000 (depending on skill set and performance)
* Bonus: Performance-based bonus after a 90-day evaluation period (tied to collections and office KPIs)
