Role Description The Front Desk Representative/Client Relations role is a full-time (8:30a-4:30p), on-site position based in Wakefield, MA. This position plays a critical role in maintaining the firm’s professional image and ensuring that clients receive exceptional service from their first interaction with the firm. The team member in this role serves as the first point of contact for clients, visitors, and prospective clients. This position is responsible for creating a welcoming and professional environment while supporting the firm’s attorneys and staff through a variety of administrative and client service functions. The ideal candidate is organized, personable, detail-oriented, and committed to providing exceptional client service. The essential duties and responsibilities are:
Reception and Office Support
- Greet clients and visitors in a professional and courteous manner.
- Answer, screen, and direct incoming telephone calls.
- Manage incoming and outgoing mail, packages, and deliveries.
- Maintain a clean, organized, and professional reception area.
- Schedule, confirm, and coordinate appointments for attorneys and staff.
- Provide general information about the firm and its services.
- Assist attorneys and staff with administrative projects and office support as needed.
- Track and maintain office supplies.
Client Relations and Intake
- Serve as an initial point of contact for prospective clients.
- Collect basic intake information and accurately enter data into the firm’s practice management system.
- Create and maintain digital client files.
- Send initial questionnaires, fact-finder forms, and other onboarding documents to prospective clients.
- Track prospective client progress using Outlook Tasks or other firm systems to ensure timely follow-up.
Client Communication
- Respond to client messages, inquiries, and requests in a timely and professional manner.
- Provide courteous and accurate information while maintaining client confidentiality.
- Communicate effectively with clients, attorneys, staff, and outside professionals.
- Help ensure a positive client experience throughout all stages of representation.
Qualifications
- Strong customer service skills, with a focus on client relations, professionalism, and a welcoming demeanor.
- Experience with receptionist duties, including greeting visitors, managing the front desk, and coordinating office traffic.
- Excellent phone etiquette and the ability to handle multi-line phone systems, route calls, and take accurate messages.
- Ability to manage reservations and appointments, including scheduling, confirming, and updating calendars accurately.
- Clear and professional communication skills, both verbal and written, with strong attention to detail.
- Strong proficiency in Microsoft Office, including Word, Outlook, and Excel and ability to learn new systems quickly.
- Strong organizational and time-management skills, with the ability to prioritize tasks in a busy office environment.
- Previous experience in a law firm, professional services, or front office environment is preferred but not required.
- Associate’s degree with a minimum of 2 years’ experience performing the essential duties of the role preferred.
