JOB TITLE: Receptionist

SUMMARY: The Receptionist serves as the first point of contact for visitors and clients, playing a vital role in creating a positive and welcoming impression of the company. This position involves managing the front desk, answering and directing phone calls, handling inquiries, and providing administrative support to various departments.

DUTIES AND RESPONSIBILITIES:

  • Answers, screens, and directs calls on a multi-line phone system courteously and professionally.
  • Takes messages and forwards telephone calls to appropriate employees, voice mail, or pager.
  • Clears messages each morning and delivers to appropriate employees.
  • Ensure the order and good appearance of the reception of the company and the common areas. (Kitchen, hallways, conference area, etc.)
  • Meets and greets all visitors; determines their needs and directs them to the appropriate employees/locations.
  • Responds courteously and professionally to visitors, clients, and employees.
  • Prepares and forwards outgoing mail and packages.
  • Creates routine correspondence as required.
  • Performs general clerical duties including but not limited to filing, photocopying, scanning, and mailing as required.
  • Organizes and maintains file system.
  • Prepares and maintains meeting and conference room reservation charts.
  • Demonstrates a high level of professionalism in dealing with confidential and sensitive issues.
  • Performs other related duties as assigned by management.

EDUCATION AND EXPERIENCE REQUIREMENTS:

  • High School diploma or completed General Educational Development (GED)
  • One to two years of related experience or equivalent.

QUALIFICATIONS:

  • Excellent verbal and written communication skills.
  • Proficiency in Office 365 is required. (Word & Excel)
  • Strong interpersonal skills.
  • Ability to understand and follow written and verbal instructions.
  • Ability to deal effectively with a diversity of individuals at all organizational levels.
  • Commitment to excellence and high standards.
  • Strong organizational skills; able to manage priorities and workflow.
  • Keystrokes a minimum of 45 wpm.
  • Versatility, flexibility, and a willingness to work within constantly changing priorities with enthusiasm.
  • English Proficiency.
  • Spanish Proficiency.
  • Professional appearance and demeanor.
  • Ability to perform diversified clerical functions and basic accounting procedures.
