ABOUT HEADSPA’CE CHATTANOOGA

HeadSpa’ce Chattanooga is a first-of-its-kind clinical scalp wellness studio at 3800 St. Elmo Ave. Founded by Brittni Krumrie, a medical aesthetician with 21+ years of experience, HeadSpa’ce is where histology meets trichology — clinical scalp science delivered in a setting that is intentional, calm, and apothecary-inspired.

Our clients are not here for a standard shampoo. They come to us with real scalp conditions — hair thinning, product buildup, hormonal hair loss — and they leave with a clinical assessment, a treatment plan, and a path forward. Highbrow, our sister studio, brings the same level of care and precision to permanent makeup and cosmetic tattoo artistry.

The front desk is where that client experience begins. Before the consultation. Before the service. The moment someone walks through our door or picks up the phone, the standard is already set.

THE ROLE

We are looking for a warm, organized, and detail-oriented Front Desk Coordinator to serve both HeadSpa’ce Chattanooga and Highbrow. This is a part-time, dual-business role — you are the first point of contact and the operational anchor for both studios.

Our ideal client — Aaliyah — arrives cautiously hopeful. She has been dealing with a scalp condition or hair concern that no one has taken seriously. She researched before she booked. She is observant. She notices everything. The person who greets her, confirms her appointment, and processes her checkout is part of what makes her feel like she finally found the right place.

This role is not about managing a front desk. It is about setting the tone for a clinical experience that changes how someone feels about her scalp health. WHAT YOU’LL DO

Client Arrival & Departure

  • Greet every client warmly by name on arrival — this is the first clinical touchpoint, and it matters
  • Confirm appointment details and ensure intake forms are completed before the client is seen
  • Notify the provider as soon as the client arrives
  • Process checkout accurately — payments, retail purchases, and gift card redemptions
  • Prompt rebooking at checkout for every client — treatment plan consistency is central to what we do

Scheduling & Phones

  • Answer calls and texts promptly and professionally — book, modify, and cancel appointments in Boulevard
  • Manage the daily schedule proactively — flag gaps, double-book risks, and coverage concerns to the lead
  • Send appointment confirmations and reminders
  • Maintain accurate client profiles — contact information, service preferences, scalp notes, and visit history

Retail

  • Maintain the retail area — organized, fully stocked, and presented to the standard of an apothecary, not a shelf
  • Know the product menu — including the in-house HeadSpa’ce apothecary line — well enough to answer client questions with confidence
  • Process retail transactions and track sales in Boulevard
  • Flag low-stock items to the lead before inventory runs out

Client Follow-Up & Reviews

  • Send post-visit follow-up messages to new clients and clients following specialty services
  • Kindly request reviews from satisfied clients on Google, Yelp, or the preferred platform — our Google presence is a primary discovery channel
  • Flag any complaints or concerns to the HeadSpa’ce lead immediately

Front of House

  • Keep the lobby, reception, and waiting area clean, stocked, and intentional throughout every shift
  • Restock beverages, towels, and client amenities as needed — including coffee, tea, wine, and THC beverages for premium service clients
  • Complete the opening and closing checklist at the start and end of each shift

  • A natural communicator who makes people feel seen and at ease from the moment they arrive
  • Someone who understands that a clinical environment requires a different standard — composure, consistency, and care in equal measure
  • Detail-oriented and calm under pressure — you can manage a busy phone, a full waiting area, and a checkout without losing your focus
  • Comfortable with scheduling software — Boulevard experience is a plus; we will train the right person
  • Genuine interest in scalp health and wellness is a bonus — clients notice when the person at the desk actually knows what they came in for
  • Reliable and punctual — our clients and our team count on you to show up
