Duties

  • Greet visitors warmly, assist with check-in procedures, and direct them to appropriate personnel or departments
  • Manage multi-line phone systems with professionalism, providing excellent customer support and routing calls accurately
  • Maintain organized filing systems, perform data entry, and handle clerical tasks such as proofreading and document management
  • Schedule appointments, manage calendars, and coordinate meetings using Google Workspace and Microsoft Office tools
  • Handle incoming correspondence, emails, and inquiries promptly while maintaining confidentiality and professionalism
  • Support office management tasks including inventory tracking, supply ordering, and basic bookkeeping using QuickBooks or similar software
  • Ensure the reception area remains tidy, welcoming, and reflective of a professional environment

Experience

  • Prior office experience with a focus on front desk or administrative support roles is highly preferred
  • Proven customer service skills with the ability to communicate effectively in bilingual settings (English and another language)
  • Familiarity with multi-line phone systems, data entry, filing, and general clerical duties
  • Strong computer literacy including proficiency in Microsoft Office (Word, Excel, Outlook), Google Workspace (Gmail, Calendar), and basic bookkeeping software like QuickBooks
  • Excellent organizational skills with the ability to prioritize tasks efficiently and manage time effectively
  • Experience in medical or dental reception is a plus but not required; personal assistant experience is also beneficial
  • Demonstrated phone etiquette and professional demeanor in handling diverse customer interactions
