We are seeking a warm, professional, and energetic Front Desk & Marketing Coordinator to be the welcoming face of our wellness clinic: Acupuncture & Optimum Health Clinic. This dual role combines exceptional patient-facing customer service with creative marketing support to help grow our practice and strengthen our community presence. Key Responsibilities
Front Desk & Patient Relations
-Serve as the first point of contact for all patients, greeting them with warmth and professionalism
– Manage appointment scheduling, confirmations, cancellations, and follow-ups
– Handle patient intake, insurance verification, and electronic health record (EHR) data entry
– Answer phone calls, emails, and in-person inquiries promptly and courteously
– Process payments, manage billing questions, and maintain accurate financial records
– Ensure the reception area and clinic environment remain clean, organized, and inviting
– Coordinate patient flow to support practitioner and minimize wait times

Marketing & Outreach
– Assist in creating and scheduling content for social media platforms (Instagram, Facebook, etc.)
– Help develop and distribute newsletters, promotional materials, and patient education resources
– Monitor and respond to online reviews and patient feedback
– Contribute ideas for promotions, seasonal campaigns, and patient engagement initiatives
– Maintain and update the clinic website and online directory listings as needed

Qualifications
– Minimum of 2 years of experience in customer service, front desk, or administrative support
– Excellent interpersonal and communication skills — both written and verbal
– Friendly, approachable demeanor with a genuine interest in patient care
– Strong organizational skills with the ability to multitask in a fast-paced setting
– Proficiency in basic computer applications (Microsoft Office, Google Workspace, scheduling software)
– Familiarity with social media platforms and basic content creation tools (e.g., Canva) preferred
– Adaptable and resourceful — comfortable wearing multiple hats and shifting priorities throughout the day

Preferred Qualities
– A genuine interest in or passion for holistic health, wellness, and integrative medicine
– Previous experience in a healthcare, wellness, or holistic practice setting
– Knowledge of or willingness to learn about Nutrition Response Testing, Acupuncture, Traditional Chinese Medicine, and complementary therapies
– Basic graphic design or photography skills for social media content
– A collaborative, team-player mindset with a positive and proactive attitude

Monday 2:00PM – 7:00PM

Tuesday/Wednesday 8:00AM – 6:30PM

Thursday 11:00AM – 3:00PM
