Position Summary: The Front Office Coordinator is the first point of contact between the patient and the Practice. They are responsible for making a positive first impression on guests by greeting all patients/clients, while presenting a warm and caring environment. They are responsible for checking in patients for their appointments/services, collecting copayments, answering patient inquiries and providing general clerical support for the efficient running of the front office.

Essential Duties and Responsibilities:
The essential functions include, but are not limited to the following:

ï‚§ Greet patients upon arrival.

ï‚§ Verify patient demographics and insurances In Aria & VPM

 Update any changes to patient’s account in EMR.

 Scan insurance card(s), photo ID’s, & New patient packets

ï‚§ Notify the Billing Department of insurance changes/additions.

ï‚§ Collect and post copays/payments. Generates receipt for copays/payments.

ï‚§ Balance daily receipts against Payment Review Report

ï‚§ Notifies appropriate department of patient arrival.

ï‚§ Prep charts for upcoming appointments

ï‚§ Schedule appointments.

ï‚§ Reschedules cancelled appointments. Working from a task pad

ï‚§ Cross trains new front desk personnel.

 Scan & Import documents/medical records into patients’ charts.

ï‚§ Confirm upcoming appointments

ï‚§ Other duties as requested or assigned by management.
