Position Overview
The Front Desk Coordinator is the first point of contact for clients, visitors, and callers. This is a customer service–focused role responsible for creating a positive and professional first impression of our firm. We are seeking an energetic and organized individual who enjoys helping others, thrives in a busy environment, and can handle multiple priorities with a smile.
No legal experience is required. We will provide thorough training to ensure success in the role.
Key Responsibilities
- Greet and welcome clients, guests, and vendors as they arrive
- Answer and route incoming calls promptly and professionally
- Manage the front desk lobby area to ensure a clean and organized environment
- Assist clients with check-in procedures and provide necessary intake documents
- Monitor and manage the firm’s general inbox and voicemail messages
- Handle incoming and outgoing mail, deliveries, and courier services
- Maintain and update office calendars and meeting room schedules
- Provide administrative support to legal and administrative staff as needed
- Coordinate with building management for front-office or facility needs
- Always uphold confidentiality and professionalism.
- Must be comfortable with and trained in emergency alert systems to report potential hazards or threats.
Qualifications
- Strong customer service skills with a friendly, positive demeanor
- Excellent verbal and written communication abilities
- Dependable, punctual, and highly organized
- Ability to multitask and handle interruptions in a fast-paced environment
- Proficient in Microsoft Office and comfortable learning new software systems
- High school diploma or equivalent required
