We are seeking a dynamic and friendly Front Desk Agent to serve as the welcoming face of our organization. Responsibilities

  • Greet visitors warmly and direct them appropriately, ensuring a positive experience from the moment they arrive
  • Manage multi-line phone systems with professionalism, providing accurate information or transferring calls efficiently
  • Handle all clerical tasks including data entry, filing, proofreading, and maintaining organized records
  • Support office management duties such as calendar management, appointment scheduling, and coordinating meetings
  • Utilize computer skills to operate Microsoft Office Suite and Google Workspace for document creation, email correspondence, and data management
  • Maintain accurate records of visitor logs, phone messages, and other administrative documentation
  • Assist with bookkeeping tasks using QuickBooks or similar accounting software when needed

Requirements

  • Proven experience in office management or administrative support roles with strong clerical skills
  • Excellent customer service skills with a friendly and professional demeanor
  • Proficiency in computer literacy including Microsoft Office (Word, Excel), Google Workspace, and data entry tools
  • Experience with multi-line phone systems and phone etiquette standards
  • Bilingual abilities are highly preferred to serve diverse client needs effectively
  • Strong organizational skills with attention to detail in proofreading and filing tasks
  • Ability to manage time efficiently while handling multiple responsibilities simultaneously
  • Previous experience as a dental or medical receptionist or personal assistant is a plus but not required
  • Knowledge of bookkeeping software such as QuickBooks is advantageous
