Front Desk Administrator/Payroll Clerk Jobs in East Hartford, CT at Pascoe Workforce Solutions

We are seeking a highly organized, detail-oriented, and customer-focused Front Desk Administrator / Payroll Clerk to join our team. This position serves as the first point of contact for applicants, employees, clients, and visitors while also supporting payroll processing, on-boarding, compliance, and day-to-day administrative operations.

Key Responsibilities

Front Desk & Customer Service

  • Welcome and assist candidates, employees, clients, and visitors in a professional and friendly manner.
  • Answer and direct incoming phone calls.
  • Respond to general inquiries and provide outstanding customer service.
  • Maintain a clean, organized, and professional reception area.

Recruiting & On-boarding Support

  • Enter candidate information into the company’s HRIS/Applicant Tracking System.
  • Process and review employment applications.
  • Conduct background checks.
  • Complete federal I-9 Employment Eligibility Verification and E-Verify processing.
  • Prepare and complete all new hire on-boarding paperwork.
  • Ensure employee files are accurate, complete, and compliant with company policies and applicable laws.

Payroll Administration

  • Collect employee timecards and timesheets from clients and temporary employees.
  • Review timesheets for accuracy and resolve discrepancies.
  • Enter payroll hours into the payroll system.
  • Process weekly payroll accurately and on schedule.
  • Maintain payroll records and assist with payroll reporting.
  • Communicate with employees and clients regarding payroll questions.

Administrative Support

  • Perform data entry with a high level of accuracy and attention to detail.
  • Maintain employee records and confidential documentation.
  • Scan, file, and organize personnel records.
  • Assist with office correspondence, reports, and general administrative projects.
  • Post open positions on job boards and company website.
  • Support recruiters and management with daily office operations.
  • Perform other administrative duties as assigned.

Qualifications

  • High school diploma or equivalent required; associate degree preferred.
  • Previous administrative, payroll, HR, staffing, or office experience preferred.
  • Strong computer skills, including Microsoft Office (Word, Excel, Outlook).
  • Experience with payroll or HRIS systems is a plus.
  • Excellent organizational and time management skills.
  • Strong written and verbal communication skills.
  • Ability to handle confidential information with professionalism and discretion.
  • Exceptional attention to detail and accuracy.
  • Ability to prioritize multiple tasks in a fast-paced office environment.
  • Friendly, dependable, and team-oriented attitude.
