Responsibilities
- Oversee daily office operations, including scheduling, filing, and administrative tasks to ensure smooth workflow
- Manage client and caregiver schedules using calendar management tools to optimize service delivery
- Supervise administrative staff, providing training, support, and performance feedback to foster team development
- Coordinate with vendors for supplies, equipment maintenance, and other operational needs through effective vendor management
- Handle human resources functions such as onboarding new employees, maintaining personnel records, and supporting payroll processes using QuickBooks or similar software
- Maintain accurate bookkeeping and financial records related to billing, expenses, and budget tracking
- Answer multi-line phone systems with professionalism and courtesy, ensuring excellent phone etiquette at all times
- Manage front desk responsibilities including greeting visitors, answering inquiries, and directing calls efficiently
- Organize community events or staff training sessions related to medical office management or care protocols to enhance team skills
Requirements
- Proven experience in office management within a healthcare or home care setting with supervisory responsibilities
- Strong organizational skills with the ability to manage multiple schedules and priorities effectively
- Proficiency in QuickBooks for payroll, billing, and bookkeeping tasks
- Experience with event planning and coordinating training or community outreach activities
- Knowledge of human resources practices including onboarding, employee records management, and compliance standards
- Familiarity with medical office management procedures and clerical tasks such as filing and record keeping
- Excellent communication skills—both verbal and written—and professional phone etiquette
- Ability to supervise staff effectively while fostering a collaborative team environment
- Experience managing multi-line phone systems, calendar scheduling, and front desk operations
