Job Summary
The Executive Support Manager serves as a trusted partner to the President and Executive Leadership Team, providing high‑level coordination, organizational support, and execution assistance to ensure leadership priorities are aligned, communicated, and advanced effectively. This role functions as the central point of coordination for executive activities, initiatives, and leadership rhythms—supporting decision‑making, follow‑through, and cross‑functional alignment while handling sensitive and confidential matters with discretion and professionalism.
Primary Job Duties/Responsibilities
Executive & Leadership Support
- Serve as a strategic partner and primary coordination resource for the President and Executive Leadership Team.
- Support executive prioritization by organizing materials, preparing briefings, tracking action items, and helping ensure timely follow‑through on key initiatives.
- Act as a liaison between executives and internal stakeholders to facilitate communication, alignment, and collaboration.
- Manage sensitive, confidential information with the highest level of discretion. Executive Operations & Coordination
- Prepare executive‑level reports, presentations, correspondence, and analyses for leadership meetings and decision‑making.
- Support leadership meeting cadence, including preparation of agendas, materials, notes, and follow‑up.
- Assist with organization‑wide initiatives by tracking progress, coordinating inputs, and supporting execution across departments.
- Identify opportunities to streamline executive processes and improve leadership effectiveness.
Executive Administration, Meeting & Events Coordination
- Coordinate executive and company-wide meetings, events, and leadership forums, including scheduling, agendas, materials, and follow-up.
- Manage logistics for meetings and events, including travel, lodging, transportation, and vendor coordination.
- Maintain executive calendars to support effective prioritization and alignment with organizational initiatives.
- Prepare and maintain Board of Directors and Shareholder meeting materials, including agendas, minutes, action items, and resolutions, as well as any other recordkeeping and materials related to Board of Directors and Shareholders.
- Provide administrative coordination for executive-level projects, strategic planning activities, corporate events, and compliance-related items, as assigned.
Administrative & Analytical Support
- Prepare and analyze reports, spreadsheets, and data to support executive planning and operational decisions.
- Assist with special projects assigned by the President or Executive Leadership Team.
- Coordinate community, vendor, and external requests directed to executive leadership, including reviewing and routing requests as appropriate.
Leadership Support & Supervision (as applicable)
- Provide oversight, coordination, or support to designated administrative or operational support functions, as assigned.
- Partner with leaders to ensure strong communication flow, accountability, and workload coordination across support roles.
- Serve as a resource and problem‑solver to help leaders focus on strategic priorities.
ALL OTHER DUTIES AS ASSIGNED
Qualifications
- Bachelor’s degree preferred; equivalent combination of education and experience may be considered.
- Minimum of 5+ years of experience supporting senior leadership or management teams.
- Demonstrated experience coordinating work across multiple leaders or departments.
- Prior supervisory or leadership support experience is preferred.

- Analytical mindset with proficiency in Microsoft Excel, Word, and PowerPoint.

Pay: $60,000.00 – $85,000.00 per year
