Position Description
The Executive Assistant to the Head of School serves as a trusted partner to the Head of School, providing high-level administrative, organizational, and operational support while ensuring the efficient functioning of the Head’s Office. This highly visible position requires exceptional judgment, confidentiality, discretion, professionalism, and the ability to anticipate needs in a fast-paced independent school environment.
In addition to supporting the Head of School, this role will support summer camp programming during the summer months as well as additional administrative support for the human resources office. The successful candidate is an outstanding communicator, relationship builder, and problem solver who thrives in a collaborative community dedicated to educating and empowering girls.
Job Responsibilities
Executive Support to the Head of School
- Manage the Head of School’s calendar, schedule appointments, meetings, and events while prioritizing competing demands.
- Partner with other executive and administrative assistants across campus as it relates to overlapping activities and prioritizing calendar.
- Coordinate travel arrangements, itineraries, and expense reporting.
- Prepare correspondence, presentations, reports, meeting agendas, and confidential documents.
- Serve as the primary point of contact for the Head’s Office, welcoming visitors and responding professionally to inquiries from students, parents, trustees, faculty, alumni, and community partners.
- Maintain confidential records and sensitive information with the highest level of discretion.
- Assist in planning school ceremonies, special events, donor gatherings, and community celebrations.
- Track projects and deadlines, ensuring timely completion of strategic initiatives.
- Support communication between the Head of School and school leadership, employees, students and families. ‘
- Cover the front desk for lunch coverage and receptionist absences.
- Other duties as assigned.
Additional administrative support for Auxiliary Services and Human Resources
- Provide administrative support for the school’s summer camp and enrichment programs.
- Support auxiliary services team in camp logistics, attendance, communication and other areas of need
- Serve as a member of the summer camp staff supporting morning and afternoon carpools, helping with before and/or after care and being a point of contact for camps in particular locations
- Support onboarding processing including new hire paperwork, setting up databases and ensure all paperwork is on file
- Maintain all new hire state of Maryland employment verifications and comply with necessary reporting requirements with the state
- Help with summer camp onboarding with internal and external constituents and collecting necessary records and data to support summer camp licensing
- Assist with benefit billing review and processing, as well as following vendor communication, where applicable
- Support benefits enrollment tracking and follow up communications
Key Qualifications
- Bachelor’s degree preferred or equivalent combination of education and experience.
- Minimum three years of executive administrative experience, preferably supporting a senior leadership role.
- Experience in an independent school, nonprofit, or educational setting preferred.
- Exceptional organizational and project management skills with meticulous attention to detail.
- Outstanding written and verbal communication skills.
- Ability to exercise sound judgment and maintain strict confidentiality.
- Proficiency with Microsoft Office Suite, especially Outlook and database management systems.
- Ability to manage multiple priorities while remaining calm, flexible, and responsive.

The St. Paul’s Schools has a compensation scale based on direct years of experience and degree held. Compensation for the role will depend on a number of factors, including a candidate’s years of experience, education and skills. For this opportunity, our salary range is $55,000 to $75,000 annually. Candidates with additional experience or qualifications may be offered a salary outside of the range shown.
