Executive Assistant Operations Manager

Valence Supply – Eagan, Minnesota Area

Position Summary

Position Summary We are hiring an Executive Operations Manager to work directly with the owner and leadership team to ensure priorities stay organized, commitments are followed through on, and key operational systems remain well maintained. This role is ideal for someone who takes pride in bringing order and structure to a fast-changing environment. The right person naturally notices when something is off and fixes it before it becomes a bigger problem.

Key Responsibilities: Executive Communication and Calendar Management

  • Manage executive calendar and scheduling to ensure meetings, commitments, and priorities are organized and prepared for
  • Monitor executive, support, and sales emails and help ensure important communications are addressed in a timely manner
  • Draft responses, coordinate follow-ups, and ensure nothing important slips through the cracks
  • Protect executive time by helping prioritize requests and commitments

Operational Oversight and Execution

  • Oversee operational discipline across the organization to ensure priorities, commitments, and internal processes are executed consistently.
  • Maintain and manage the company's operational control systems and documentation.
  • Identify operational gaps and implement process improvements that increase efficiency and prevent recurring issues.
  • Serve as a coordination point across departments to keep projects, priorities, and tasks moving forward.

EOS Implementation and Leadership Meeting Management

  • Run and manage EOS based leadership meetings including weekly Level 10 meetings.
  • Prepare meeting agendas and materials.
  • Maintain company scorecards and track key Rocks and action items.
  • Follow up with team members to ensure commitments made during meetings are completed.
  • Maintain visibility into company priorities so leadership always knows what is on track, off track, or stalled.

KPI Tracking and Operational Reporting

  • Maintain and track company operational KPIs and scorecards.
  • Provide leadership with regular visibility into key operational metrics.
  • Identify trends or operational issues early and escalate when necessary.
  • Ensure operational metrics such as customer responsiveness, service levels, and operational efficiency are monitored consistently.

Systems and Process Management

  • Maintain operational tools and systems including project management, CRM platforms, and internal workflows.
  • Audit company forms, documentation, and systems to ensure they remain accurate and functional.
  • Implement processes and systems that reduce operational friction and improve accountability across the organization.

Accountability and Team Coordination

  • Follow up with team members to ensure commitments and deadlines are met.
  • Help reinforce operational standards and expectations across departments.
  • Support leadership in maintaining a culture of ownership, reliability, and operational discipline.

Operational Administration and Compliance Support

  • Assist with coordination of operational responsibilities such as fleet management documentation, internal records, and compliance related processes.
  • Support coordination of company training events, operational initiatives, and internal projects.

  • Strong judgment and discretion when handling sensitive information
  • Thrives in fast-changing environments where priorities evolve quickly

Preferred Experience:

  • Executive assistant, operations coordinator, office manager, or chief of staff experience
  • Experience working directly with founders, executives, or leadership teams
  • Project coordination or operational oversight experience
  • Comfort using operational tools and software systems
  • Experience in logistics, construction, legal, manufacturing, or other structured operational environments
