If you’re a committed and experienced Executive Assistant professional who can support executives and help maintain smooth business operations, we want you to join our team.

As an Executive Assistant you’ll provide dedicated administrative support to the Executive Vice President,
Executive Board Members
, along with a range of administrative or general office support to the broader team as assigned.

Make an Impact:

  • Own and maintain calendar management for Board of Directors
    ; troubleshoot conflicts with creative solutions

  • Coordinate travel for leaders, includes supporting travel delay re-scheduling for national and international travel arrangements, in addition to rescheduling meetings with internal/external parties

  • Create board level packages and perform various on-site tasks to support Board Members

  • Assist in coordinating in-office or virtual meetings, townhalls or offsite events; may include booking meeting spaces, agenda development, technology setup, amalgamating/proofreading PowerPoint decks, event day troubleshooting and ordering catering with dietary restrictions

  • Maintain confidentiality:
    Will have access to leaders’ emails to assist in prioritizing or performing important administrative tasks on their behalf

  • Apply appropriate due diligence to ensure accuracy in completing ad-hoc administrative tasks (e.g., reports, invoices, communications, tables, charts, files)

  • Inform immediate team regularly on project status, as well as relevant information related to day-to-day activities

  • Provide vacation/temporary coverage for colleagues, supporting additional leaders

  • Job Requirements

    What You Need to Succeed

  • Undergraduate degree preferred with 7-10 years of relevant experience

  • Must have experience interfacing with C-Suite Executives

  • Extensive knowledge of Windows and Microsoft Office Suite and internet applications (Outlook, PowerPoint, Word, etc.)

  • Experience coordinating travel arrangements and comfortable managing frequent changes

  • Excellent communication skills with the ability to listen actively, ask questions and communicate effectively

  • Proven track record as an executive assistant

  • Demonstrated leadership skills for mentoring junior colleagues

  • Excellent organizational skills with the ability to multitask and adapt to change in a fast-paced, dynamic environment

  • Ability to collaborate with other Executive Assistants, in addition to internal and external partners

  • Strong judgment skills to support initiatives and apply discretion when working with confidential information

  • Can efficiently interpret TD policies and help executives apply these standards in a fast-changing environment
