Position Summary
The Executive Assistant reports to the CEO with dotted line to the COO. This position will provide multi-faceted support and assistance to ensure the effective use of executives’ time, manage the schedules of the CEO and COO, manage internal or external communications and transactions, manage a variety of projects and deadlines. Manages all aspects of Board of Directors and relevant Board committee meetings; provide preparation for events, speeches, and conferences. The Executive Assistant will establish and maintain positive and effective working relationships using organization values of Love, Kindness, and Respect with the Goodwill of Central Iowa (GCI) Leadership Team, employees, participants, and Board of Directors.
Responsibilities
- Manages a wide range of executive administrative and support tasks; independently initiates and implements processes to manage projects, information, and communications.
- Manages schedules for the CEO and COO; prioritizes and prepares communications to various internal and external parties.
- Manages executive access and protects leadership time by directing requests and scheduling priorities.
- Organizes and prepares for meetings, including preparation of documents, reserving meeting space, preparing reports, and ordering and organizing food delivery.
- Provides administrative support to the Goodwill of Central Iowa Board of Directors and Goodwill of Central Iowa Foundation Board. This includes capturing meeting minutes, managing in-person and virtual meetings, creating agendas, disseminating information, creating presentations, and organizing events.
- Proactively gathers all necessary information and materials to communicate and distribute in alignment with or in advance of deadlines.
- Accurately captures meeting notes and creates accurate meeting summaries that document decisions, events, and communication.
- Organizes documentation, presentations, forms, and resources using GCI’s current technology suite including Microsoft Office, SharePoint, Jira, etc. while leveraging the organization’s AI (artificial intelligence) tools.
- Develops and reviews presentations and reports for the CEO, COO and Leadership team, providing facilitation and presentation assistance as necessary.
- Plans and executes project management on behalf of the executives and leadership team in alignment with strategic priorities.
- Develops positive and strategic relationships within GCI’s values of love, kindness, and respect at all levels of the organization.
- Uses discretion, judgement, and knowledge of the organization to facilitate the executives’ activities, protects their time and priorities, and maintains confidentiality.
- Supervises Administrative Assistant position who primarily receives GCI visitors, answers phone calls to the main phone number, and replies to emails received in the general inbox.
- Performs other job duties as assigned.
Required Skills & Abilities
- Expert level written and verbal communication skills; accurate keyboarding skills with the ability to maintain and manage highly organized files.
- Exceptional attention to detail, ability to manage multiple projects at once, and anticipate how to flex and adapt throughout changes.
- Proficient technology skills including Microsoft Office Suite, AI tools, survey tools, Adobe products, project management software, etc.
- Leadership and/or supervisory experience preferred. Very strong interpersonal skills and the ability to build relationships with stakeholders, employees, board members, external partners, and donors.
- Ability to influence and provide direction to others so that projects and tasks are executed correctly.
- Ability to think critically; confidently solve problems and make decisions with integrity that support the executives and organization.
- Ability to professionally handle sensitive and confidential situations and information.
- Regular and reliable attendance.
- Must have a valid Iowa driver’s license, reliable transportation, a good driving record and auto insurance. Must be able to pass a criminal background check and dependent adult and child abuse check
Education & Experience
- Bachelor’s degree and/or progressive advancement in a relevant field is required. Relevant progressive experience will be considered in lieu of a degree.
- A minimum of three to five years of experience in a similar role.
Physical Requirements
- Ability to remain stationary for long periods of time.
- Visual acuity with the ability to perform long periods of work at a computer and reading, interpreting, and creating communications.
- Ability to communicate clearly verbally and through written formats.
- Ability to actively move within Headquarters offices, between GCI locations, and throughout meetings or events in the community.
- Ability to travel within GCI territory between locations or within the community periodically for meetings or projects.
- Ability to regularly carry, lift, push, or pull up to 20 lbs regularly.
Working Conditions:
- Primary work location is within an office setting with temperature control.
- Occasional work during events or external meetings may be outdoors in various weather conditions.
