Executive Administrative Assistant Jobs in Dallas at Tier One
The Executive Assistant serves as a central administrative and operational support resource for Tier One’s executive team. This role is responsible for managing day-to-day office functions, coordinating executive schedules, supporting HR and finance processes, and acting as a primary point of contact for internal and external stakeholders. The position requires strong organizational skills, discretion, adaptability, and the ability to manage multiple priorities in a dynamic environment.
Key Responsibilities
Executive & Administrative Support
- Manage complex calendars for executives, including scheduling meetings and sending reminders
- Coordinate executive and company meetings, including logistics and conference room bookings
- Arrange travel accommodations, including flights, lodging, and training events
- Serve as a gatekeeper and primary point of contact for internal and external communications directed to executives
- Answer and route incoming calls with professionalism
Office Operations
- Maintain organized office filing systems (physical and electronic)
- Order and manage office supplies and inventory
- Support general office upkeep, including end-of-day closing responsibilities
- Maintain uniform and equipment inventory, including tracking issuance and returns for departing employees
- Coordinate uniform fittings and vendor services (e.g., dry cleaning, alterations)
HR & Employee Experience Support
- Maintain employee personnel files and ensure proper documentation
- Support employee recognition programs (birthdays, anniversaries, life events)
- Coordinate management notifications, including bereavement communications and arrangements (e.g., flowers, cards)
- Assist with onboarding logistics for new employees and clients
Finance & Compliance Support
- Process accounts payable transactions accurately and timely
- Collect and maintain W-9 documentation from vendors, contractors, and clients
- Support compliance with company policies regarding documentation and recordkeeping
Client & Stakeholder Coordination
- Assist with new client onboarding processes
- Act as liaison between executives and stakeholders to streamline communication and workflow
Qualifications
Experience
- 2–5 years of experience in administrative support, HR, finance, or a related field
- Experience supporting senior executives preferred
Skills & Competencies
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint)
- Strong organizational and time management skills
- Excellent verbal and written communication skills
- Professional phone etiquette and customer service orientation
- High level of discretion and ability to handle confidential information
- Ability to adapt to shifting priorities and frequent changes in direction
Education
- Bachelor’s degree in Business Administration or Human Resources or equivalent work experience required
Additional Requirements
- No felony or Class A misdemeanor convictions
- Ability to manage multiple responsibilities in a fast-paced environment

Pay: $45,000.00 – $50,000.00 per year
