Minimum Job Requirements

Education: High School diploma or equivalent

Experience: 1-3 years relevant office/customer service

Skills: Excellent interpersonal and organizational skills; Computer literate; Notary public; Accurate data entry skills; MS Office/ Excel

Summary

ESSENTIAL JOB FUNCTIONS: These statements are intended to describe the responsibilities assigned to the position and are not intended to represent an exhaustive list of all responsibilities, duties and skills required.

  • Performs as the initial contact between the district enrollment center and parents and/or guardians/students to facilitate the enrollment process.
  • Coordinates records requests from other districts and notarizes affidavits related to enrollment.
  • Disseminate information about the district to inquiring persons and obtain information from persons desiring to enroll students in the district.
  • Assist in facilitating the enrollment process of all students new to the district during the regular and/or overload periods.
  • Must obtain knowledge and use of new technology or software programs. Utilizing accurate data entry skills.
  • Trouble- shooting and problem solving to complete enrollment processes and procedures.
  • Provides internal clerical support for the enrollment office, including preparing data for reports, organizing digital and physical files, sorting departmental mail, and managing backend communication, etc.
  • Possess comprehensive knowledge and the ability to effectively manage intra- and inter-district transfers, as well as enrollments for McKinney-Vento (MCKV), English Learners (EL), and foster care students.
  • Verify enrollment records for Social Security, Social Services, IRS, etc.
  • Review and verify legal documents as required to ensure compliance with enrollment protocols and to support student safety and well-being.
  • Responsible for the intake, organization, and management of 10-Day Drop documentation, as well as Truancy and Chronic Absenteeism records, ensuring accurate tracking and compliance with district policies and legal requirements.
  • This position may require occasional off-site work, including evenings, and overtime hours, to support community events and other district initiatives. Flexibility in scheduling is essential to accommodate these requirements.
  • Demonstrates sensitivity & empathy to the needs of students, staff, parents/guardians; maintains the utmost confidentiality of student & family information.
  • Shares the responsibility of providing dedicated coverage and administrative support for the Central on Main reception desk, including greeting and directing visitors, managing and routing incoming telephone calls, handling general public inquiries, and performing other front-office reception duties as needed.
  • Performs other duties assigned by supervisor or administrator.

Attendance Statement

Able to be in attendance for assigned responsibilities with 95% attendance.

ENVIRONMENTAL CONDITIONS: Primarily inside working conditions with minimal exposure to extreme environmental conditions. During the summer months, the enrollment team works community events which are often held outside.

PHYSICAL STANDARDS: While performing the duties of this job, the employee is continuously required to sit, talk and hear. The employee is frequently required to walk, stand, bend and stoop. Occasional lifting of up to 25 lbs is required. The employee is required to reach with hands and continuously repeat the same hand, arm or finger motion many times as in typing. Specific vision abilities required in this job include close vision, depth perception, and the ability to adjust focus.
