Job Overview
We are seeking an organized and detail-oriented professional to join our team as a CUSTOMER SERVICE ORDER ENTRY REPRESENTATIVE. In this role, you will act as the vital link between our retail store customers, sales team, and warehouse operations. You will be responsible for accurately processing incoming orders, maintaining client databases, and delivering excellent customer support by answering inquiries and resolving fulfillment issues.
Key Responsibilities
- Order Processing: Accurately enter/upload customer purchase orders into Full Circle ERP system ensuring data such as style numbers, colors, pricing, quantities and all delivery information are correct.
- Customer Support: Work directly with RAJ Sales Team, Shipping Manager and Customer serving as the primary point of contact for order-related inquiries via email and phone for shipping updates, tracking information, and product availability.
- EDI – Work with and support Operations Manager. Learn Electronic Data Interchange (EDI) systems and ensure Advanced Shipping Notices (ASN) and invoices meet complex retail vendor guidelines.
- Dispute & Issue Resolution: Investigate and resolve pricing discrepancies, billing issues, back orders, and damaged freight claims.
- Cross-Functional Collaboration: Coordinate with the warehouse, shipping, and sales departments to ensure on-time order fulfillment and resolve order-related delays.
- Database Maintenance: Create new customer accounts and consistently log interaction notes and transaction updates into ERP system.
- Documentation: Generate order confirmations, invoices, and Return Authorizations as needed.
Requirements & Qualifications
- Experience: 1-3 years in customer service. Apparel Industry preferred
- Technical Skills: Experience using ERP software systems a plus
- Attention to Detail: High degree of accuracy and the ability to prevent data entry errors in a fast-paced environment.
- Communication: Excellent verbal and written communication skills with a friendly, professional, and patient demeanor.
- Time Management: Strong ability to multitask, prioritize tasks, and meet daily order processing deadlines.
