Position Overview
The Client Experience Coordinator serves as the first impression of Align Wealth Management and plays a critical role in creating a welcoming, professional, and organized office environment.
This position is ideal for someone who genuinely enjoys interacting with people, thrives in a fast-paced environment, and can successfully manage multiple priorities throughout the day. You will be the primary point of contact for clients and visitors, coordinating schedules, managing incoming calls, and helping ensure the office runs smoothly and efficiently.
We are looking for someone who is highly organized, exceptionally personable, and capable of balancing client service responsibilities with administrative support tasks.
Key Responsibilities
- Serve as the first point of contact for clients, prospects, and visitors.
- Welcome clients and create a warm, professional office experience.
- Answer, screen, and direct incoming phone calls.
- Manage advisor calendars and coordinate appointments.
- Confirm appointments and maintain scheduling accuracy.
- Assist clients with routine service requests and direct inquiries appropriately.
- Maintain accurate client records and update information in firm systems.
- Manage incoming and outgoing mail, deliveries, and office communications.
- Assist with client appreciation events, educational workshops, and office activities.
- Support advisors and team members with administrative tasks as needed.
- Help maintain an organized, professional, and client-focused office environment.

Preferred Qualifications
- Experience in a receptionist, front desk, administrative assistant, customer service, hospitality, banking, healthcare, or office support role.
- Experience managing calendars, scheduling appointments, or coordinating activities.
- Strong written and verbal communication skills.
- Financial services experience is helpful but not required.

Pay: $20.00 – $25.00 per hour
