We are seeking a highly organized, professional, and dependable Administrative Assistant to support the daily operations of our childcare center. This position serves as the first point of contact for families, staff, and visitors while assisting with enrollment, billing, recordkeeping, licensing compliance, and general office management. The ideal candidate is detail-oriented, customer-focused, and able to maintain confidentiality while working in a fast-paced environment.
Essential Duties and Responsibilities
Administrative Support
- Greet families, visitors, and vendors in a welcoming and professional manner.
- Answer and direct phone calls, emails, and other communications.
- Maintain child, family, and staff records in accordance with Virginia licensing regulations.
- Prepare and organize reports, correspondence, and center documentation.
- Assist with scheduling meetings, trainings, and events.
- Manage office supplies and place orders as needed.
Enrollment & Family Services
- Conduct tours for prospective families.
- Assist families with enrollment paperwork and registration processes.
- Maintain accurate attendance records.
- Support family communication through center management software, email, and newsletters.
- Collect and process tuition payments and maintain billing records.
Licensing & Compliance
- Maintain child files to ensure compliance with Virginia Department of Education Child Care Licensing Standards.
- Ensure required enrollment forms, immunization records, physicals, and emergency contact information are current and complete.
- Assist with preparation for licensing inspections and audits.
- Maintain staff records, training documentation, and required certifications.
- Support compliance with confidentiality requirements and record retention policies.
Financial & Operational Support
- Process invoices, payments, and receipts.
- Assist with tuition billing and account reconciliation.
- Track enrollment data and waiting lists.
- Prepare reports requested by center leadership.
- Support daily operational needs of the center.
Staff Support
- Assist with substitute scheduling and staff communication.
- Maintain personnel files and training records.
- Support onboarding processes for new employees.
Qualifications
Required
- High School Diploma or GED.
- Minimum of one (1) year of administrative, office, customer service, or childcare-related experience.
- Strong computer skills, including Microsoft Office and Google Workspace.
- Excellent verbal and written communication skills.
- Ability to maintain confidentiality and professionalism.
- Strong organizational and multitasking abilities.
Preferred
- Associate’s or Bachelor’s degree in Business Administration, Education, Early Childhood Education, or related field.
- Experience in a childcare, educational, or school setting.
- Experience with childcare management software (Brightwheel, Procare, etc.).
- Knowledge of Virginia child care licensing requirements.
Virginia Licensing Requirements
In accordance with Virginia Child Care Licensing Standards, the selected candidate must:
- Be at least 18 years of age.
- Successfully complete all required background checks, including:
- Virginia State Police Criminal History Record Check
- Virginia Child Abuse and Neglect Central Registry Search
- National Sex Offender Registry Check
- Fingerprint-based Criminal History Record Check, if required
- Meet all health screening requirements as required by Virginia regulations.
- Complete all required orientation and training requirements established by the Virginia Department of Education.
- Demonstrate the ability to understand and follow child care licensing regulations related to recordkeeping, confidentiality, and center operations.
