POSITION OVERVIEW

The Program Assistant serves as the first point of contact for participants in the BUILD workforce development program, providing a welcoming and organized entry point into program services. This position supports participant flow, scheduling, and communication to ensure individuals are efficiently connected to the appropriate staff based on their needs. Working closely with BUILD Coordinators, Resource Navigators and Career Navigators, the Program Assistant helps maintain a structured and responsive environment by managing front desk operations. This role is essential to ensuring participants receive timely, organized, and respectful access to services.


ESSENTIAL DUTIES AND RESPONSIBILITIES

  • Serve as the primary point of contact for participants in person, by phone, and via email
  • Greet participants and assess immediate needs to direct them to the appropriate staff member (Resource Navigator or Career Navigator)
  • Support participant flow to ensure timely and efficient service delivery.
  • Provide a welcoming, respectful, and inclusive environment for all participants and visitors.
  • Provide general program information and answer routine questions about services.
  • Support participants in understanding next steps and connecting with assigned staff.
  • Monitor program phone lines, email inboxes, and general inquiries.
  • Work closely with Resource Navigators and Career Navigators to ensure participants are connected to the appropriate services.
  • Communicate participant needs or concerns to program staff in a timely manner.
  • Participate in team meetings as appropriate.
  • Maintain professionalism and confidentiality in all participant interactions.
  • May assist in maintaining accurate and up-to-date participant records.
  • Attend required trainings, meetings, and professional development opportunities.
  • Perform other duties as assigned.

Education, Training and Experience:

  • Combination of education OR experience equivalent to an associate degree in a related field plus a minimum of one year experience in the same or similar position.
  • Strong facilitation and communication skills; proven ability to collaborate with diverse organizations, community groups and community members.
  • Must possess excellent written and spoken English communication skills; Spanish English bilingual abilities preferred.
  • Computer competence sufficient to perform assigned tasks.

Ability to:

  • Conduct outreach and promotion in the community.
  • Work with and provide service to fragile and/or vulnerable clients from a variety of economic, social and cultural backgrounds in an appropriate, sensitive manner may be required.
  • Take direction and work with supervisor to ensure priorities are correctly aligned and accomplished as well as to work independently with minimal supervision.
  • Manage multiple deadlines and assignments with attention to detail and accuracy, and in a timely manner.

Necessary Special Skills & Requirements:

  • Must be at least 18 years of age.
  • For work-related driving, must have a valid California driver’s license, a verifiable good driving record, and access to a vehicle with insurance that covers the employee as a driver OR reliable transportation with proof of automobile insurance.


WORK ENVIRONMENT/PHYSICAL DEMANDS

  • While performing the duties of this job, the employee is regularly required to talk, hear, listen, communicate clearly, and may be required to supervise staff or volunteers as assigned.
  • The employee frequently is required to sit; use hands to finger, handle or feel objects, use manual and automatic office equipment, and reach with hands and arms.
  • The employee is occasionally required to stand; bend; reach down and stretch overhead; walk; climb or balance; and stoop, kneel, crouch, or crawl.
  • The employee may frequently lift and/or move up to 25 pounds unassisted and may occasionally move and lift heavier materials with assistance using ergonomic guidelines.
  • Specific vision abilities required by this job include close and distance vision, peripheral vision, depth perception, and the ability to adjust focus.
  • The ability to travel during the day and/or night, sometimes long distance – possession of a valid California Driver’s License and access to an insured vehicle is required.
  • Interaction and contact with outside agencies, vendors, funders, volunteers, donors and contributors is a frequent aspect of this job.
  • The employee will regularly use computers and computer printers, telephones and other similar electronic office equipment.
  • The environment can occasionally be noisy and include the comings and goings of small children and their families.
