We are seeking a dependable, organized, and professional Office Clerk to join our dealership team.

This position provides clerical and administrative support to the dealership’s office and management staff. The ideal candidate is detail-oriented, able to manage multiple responsibilities, and comfortable working in a fast-paced automotive dealership environment.

Previous automotive dealership experience is helpful but not required.

Compensation

Starting Pay: $18.57 to $20.00 per hour

Compensation will be based on experience, qualifications, and skill level.

ResponsibilitiesFiling and Recordkeeping

  • Maintain organized and accurate paper and electronic filing systems.
  • Organize files in the dealership office and designated file-storage areas.
  • Create, label, and organize various file types as needed.
  • Review incoming documents for accuracy, completeness, and legibility.
  • Obtain clarification or missing information when necessary.
  • Properly classify and file documents in the appropriate system.
  • Locate and retrieve documents and information when requested.
  • Assist with document scanning, copying, archiving, and record retention.
  • Perform other filing and recordkeeping duties as assigned.

Administrative Support

  • Provide general clerical and administrative support to dealership management and office personnel.
  • Answer and direct incoming telephone calls in a courteous and professional manner.
  • Monitor and respond to messages received through the dealership’s general office phone line.
  • Greet customers, visitors, vendors, and employees in a warm and professional manner.
  • Keep reception, guest, office, and conference-room areas neat and presentable.
  • Schedule appointments and send calendar invitations as requested.
  • Prepare documents, forms, reports, correspondence, and meeting materials.
  • Perform data entry and verify information for accuracy.
  • Compile information and reports for dealership projects and departmental needs.
  • Maintain confidentiality when handling customer, employee, vendor, and dealership information.

Additional Duties

  • Assist other dealership departments when administrative support is needed.
  • Maintain professional and cooperative working relationships with employees, customers, and vendors.
  • Follow all dealership policies, procedures, safety requirements, and confidentiality standards.
  • Perform other duties and special projects as assigned by management.

QualificationsRequired Qualifications

  • High school diploma or GED.
  • At least 18 years of age.
  • Strong organizational and time-management skills.
  • Excellent attention to detail and accuracy.
  • Strong verbal and written communication skills.
  • Professional interpersonal and customer-service skills.
  • Ability to maintain confidentiality.
  • Ability to prioritize assignments and manage multiple tasks.
  • Basic computer skills, including experience with email, Microsoft Word, Excel, and electronic filing systems.
  • Ability to work effectively both independently and as part of a team.
  • Current California driver’s license with a satisfactory driving record when driving is required as part of the position.

Preferred Qualifications

  • At least one year of experience as an office clerk, administrative assistant, receptionist, or in a similar position.
  • Previous automotive dealership or accounting-office experience.
  • Experience with document scanning, data entry, filing, and record-management systems.
