We are seeking a dynamic and highly organized Assistant Office Coordinator to join our team! Duties

  • Manage daily office operations, including front desk responsibilities, multi-line phone systems, and greeting visitors with professional courtesy.
  • Oversee schedule management for staff calendars, meetings, appointments, and event planning to optimize productivity.
  • Coordinate vendor management activities such as procurement, invoice processing using QuickBooks, and maintaining supplier relationships.
  • Support human resources functions including onboarding new employees, assisting with payroll processing, filing HR documentation, and facilitating training and development programs.
  • Handle bookkeeping and budgeting tasks to ensure accurate financial records and expense tracking.
  • Organize office supplies inventory, maintain filing systems for documents and records, and ensure compliance with office policies.
  • Assist in planning company events or team-building activities that promote a positive workplace culture.

Experience

  • Proven experience in office management or administrative roles within a professional environment.
  • Supervising experience is highly preferred to oversee support staff or interns effectively.
  • Strong proficiency in QuickBooks for financial record keeping and invoicing.
  • Demonstrated ability to manage schedules efficiently across multiple teams or departments.
  • Knowledge of human resources procedures including payroll processing, employee onboarding, and training coordination.
  • Excellent communication skills complemented by organizational prowess; capable of multitasking in fast-paced settings.

Pay: $17.00 – $22.00 per hour
