Description
Kentucky Correctional Psychiatric Center (KCPC) is located in LaGrange, Kentucky and performs competency evaluations for persons in Kentucky. We are the only forensic hospital in the state, serving all 120 counties. Our team has a 37.50-hour work week and includes health insurance, life insurance, paid leave and retirement benefits. We are currently looking for an Administrative Specialist Senior who possesses the skill, knowledge, and desire to be part of our team.
Responsibilities Include But Are Not Limited To
- Works with the evaluating staff to request medical and school records and other records for evaluation process. Maintains database of contact information for record requests and records requested and received.
- Reviews admission pending list to determine upcoming patient admissions in order to request discovery and other records prior to patient admission. Scans received records into patient folders and notifies assessors of receipt.
- Provides administrative support in entering requested and received records into the system, maintaining the database for these items for Health Information Management.
- Provides administrative support to the Director of Social work in developing and implementing the department's Quality Assurance program. Conducts review of staff documentation for Quality Assurance. Develops and maintains the database for Quality Assurance statistics for the department.
- Provides admin support to the Social Work Department in maintaining database of contact information for frequently requested records. Produces reports relaying statistical information to enhance KCPC process flow. Keeps forms library for outside records requests up to date with new forms as these change. Maintains relationships and contacts with outside agencies and providers to facilitate medical record requests.
- Works with the admissions department to determine schedule of outpatient evaluations as these are scheduled. Requests discovery information and records on these patients prior to their evaluation date. Works with the evaluators to request additional records after the evaluation is complete. Scans records into the patients folder and notifies staff when these records are received.

Minimum Requirements
EDUCATION: Graduate of a college or university with a bachelor's degree.
EXPERIENCE, TRAINING, OR SKILLS: Three years of professional, administrative, or business experience.
Substitute EDUCATION for EXPERIENCE: Additional education will substitute for the required experience on a year-for-year basis.
Substitute EXPERIENCE for EDUCATION: Additional administrative, business, research, and/or clerical experience will substitute for the required education on a year-for-year basis.

Incumbents working in this job title primarily perform duties in an office setting.
Probationary Period
This job has an initial and promotional probationary period of 6 months, except as provided in KRS 18A.111.
