As a Patient Care Coordinator, you’ll play a vital role in supporting patients and their families throughout their journey. This position is responsible for managing scheduling, program paperwork, and billing processes, serving as a central liaison between patients, therapists, doctors, and administrative staff. You’ll ensure efficient department operations while fostering a positive, collaborative, fun and supportive environment for both patients and team members.
Key Responsibilities
- Answer and manage incoming calls, emails, and inquiries related to patient care.
- Schedule eye exams, consultations, progress checks, and follow-ups in coordination with provider availability.
- Confirm and remind patients of upcoming appointments, monitor attendance, and follow up on missed visits.
- Welcome patients and families with warmth and professionalism, serving as their primary point of contact throughout care.
- Provide patient education, ensuring families understand the appointment process, expectations, and logistics.
- Prepare, distribute, and maintain all paperwork, including consent forms, intake forms, evaluation records, and progress documentation.
- Accurately enter and maintain records in the electronic health record (EHR) system.
- Support technicians and doctors to ensure patients have a smooth and positive experience.
- Collect, process, and post patient payments for various services.
- Submit and track insurance claims as required.
- Reconcile patient accounts, follow up on outstanding balances, and address billing inquiries.
- Collaborate with the accounting team to ensure accurate and compliant financial records.
- High school diploma or equivalent required; associate’s or bachelor’s degree preferred.
- Prior experience in healthcare administration, billing, or insurance preferred (willing to train the right candidate).
- Strong organizational skills with accuracy and attention to detail.
- Excellent verbal and written communication; pleasant and professional phone presence.
- Proficiency with EHR systems, scheduling platforms, and Microsoft Office/Google Drive.
- Ability to multitask and manage competing priorities in a fast-paced environment.
- Comfortable handling financial discussions with patients.
