Position Purpose:

The Administrative Assistant serves as the first point of contact for the dealership, providing professional front-office support while assisting the Office Manager with a variety of administrative and accounting-related functions. This role is responsible for ensuring efficient communication, accurate document management, and organized daily office operations in a fast-paced environment.

Principal Duties & Responsibilities:

  • Manage incoming calls and direct inquiries to correct department.
  • Greeting customers and visitors in a courteous manner & directing them to the appropriate department or personnel.
  • Monitor and respond to email communications in a timely and professional manner.
  • Document scanning & electronic filing for parts, service, & sales.
  • Assist management with marketing initiatives, including maintaining dealership social media content and supporting promotional activities.
  • Create, maintain, and update trailer inventory listing on Truck Paper, including uploading photos, equipment descriptions, and ensuring listing accuracy.
  • Assist in weekly reconciliation of trailer inventory and maintain accurate records of inventory available for sale.
  • Set up transportation for trailer deliveries.
  • Maintain a trailer customer database.
  • Must be regular and predictable in attendance.
  • Must be able to work in a cooperative manner with co-workers and supervisors.
  • Performs other duties as assigned.

Qualifications:

  • Must understand the concept of filing and retrieving.At least 1-3 years of experience as a receptionist, administrative assistant, or office support preferred.
  • Proficient in Microsoft Office Suite (Outlook, Word, Excel) and general office technology, including multi-line telephone systems, copiers, scanners, and document management software.
  • Strong organizational skills with exceptional attention to detail and the ability to prioritize multiple tasks in a fast-paced environment.
  • Ability to maintain confidentiality and handle sensitive information with discretion
  • Experience with social media platforms and online marketing tools is preferred.
  • Must learn and understand simple accounting methods to assist in accounting area

Education and/or Experience:

GED or High School Diploma

Language skills:

Excellent verbal and written communication skills are required. Must be able to communicate professionally and effectively with customers, vendors, and employees in person, by telephone, and through email while providing outstanding customer service in a fast-paced environment.
