Responsibilities

  • Manage front desk duties, greeting visitors and directing them appropriately with professional phone etiquette
  • Operate multi-line phone systems to handle incoming calls efficiently and courteously
  • Maintain organized filing systems, data entry records, and document proofreading to ensure accuracy and accessibility
  • Support office management tasks such as calendar management, scheduling appointments, and coordinating meetings
  • Utilize computer skills including Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace for various administrative tasks
  • Assist with bookkeeping activities using QuickBooks or similar software to track expenses and invoices
  • Provide excellent customer support by responding promptly to inquiries via phone or email and ensuring client satisfaction

Skills

  • Proven clerical experience with strong organizational skills and attention to detail
  • Proficiency in computer literacy, including Microsoft Office programs and Google Workspace applications
  • Experience with office management systems, data entry, filing, and proofreading documents
  • Bilingual abilities are highly valued to effectively communicate with diverse clients and team members
  • Familiarity with front desk operations, medical or dental receptionist duties, or personal assistant experience is a plus
  • Excellent time management skills to prioritize tasks efficiently in a busy environment
  • Knowledge of office equipment such as multi-line phones, fax machines, printers, and scanners
  • Strong customer service orientation combined with professional phone etiquette
