Administrative Operations Coordinator

$60,000–$75,000 + Benefits | Full-Time | Onsite

We are a growing driver recruiting and transportation services company seeking a highly organized and detail-oriented Administrative Operations Coordinator to support both recruiting and operational functions. This is a dynamic role that combines recruiting support, marketing, compliance, payroll administration, customer service, and data management.

What You’ll Do

Operations & Compliance

  • Support DOT compliance and driver qualification file administration
  • Maintain accurate employee and contractor records
  • Coordinate onboarding documentation
  • Assist with audits and compliance reporting
  • Track licenses, certifications, and required documentation

Payroll & Administration

  • Enter payroll information for processing through a third-party payroll administrator
  • Verify driver pay, settlements, and supporting documentation
  • Maintain spreadsheets and operational reports
  • Prepare recurring reports for management

Customer & Driver Support

  • Respond to driver and customer inquiries
  • Resolve service-related issues professionally and efficiently
  • Coordinate with operations, recruiting, and management teams
  • Provide administrative support for day-to-day business activities

Recruiting & Marketing

  • Create and manage online job advertisements to attract CDL drivers and transportation professionals
  • Track recruiting metrics and candidate activity
  • Maintain candidate records within the Applicant Tracking System (ATS)
  • Communicate with applicants throughout the hiring process
  • Assist with sourcing and recruiting initiatives

Qualifications

  • 2+ years of administrative, recruiting, operations, payroll, or customer service experience
  • Strong Microsoft Excel skills required
  • Experience with Applicant Tracking Systems (ATS) or HR software preferred
  • Excellent organizational and time-management skills
  • Strong written and verbal communication skills
  • Ability to manage multiple priorities and shift between tasks throughout the day
  • High attention to detail and accuracy
  • Experience in transportation, logistics, staffing, recruiting, or trucking is a plus

Excel Skills Required

  • Data entry and reporting
  • Formulas and functions
  • Sorting and filtering large datasets
  • Conditional formatting
  • Pivot tables preferred
  • Ability to create and maintain tracking spreadsheets

Pay: $65,000.00 – $70,000.00 per year
