A fast-growing fintech business operating a payment orchestration and CRM platform for recurring, subscription, and high-risk merchants is looking for an Administrative Coordinator to become the operational backbone of the company.

This role ensures the business runs smoothly behind the scenes, managing documentation, contracts, task tracking, onboarding paperwork, and internal coordination so leadership, engineering, and commercial teams can focus on growth and delivery.

This is not a passive admin role. You’ll own operational follow-through across the business, ensuring nothing slips through the cracks and every task, document, and follow-up is completed on time.

Key Responsibilities:

  • Manage and track contracts, agreements, and merchant onboarding documentation
  • Maintain contract trackers, operational spreadsheets, and internal records
  • Coordinate across leadership, engineering, commercial teams, and external partners
  • Chase outstanding documents, approvals, and actions to ensure timely completion
  • Support meeting coordination, communications, and leadership requests
  • Assist with HR administration, onboarding, and recruitment coordination
  • Improve and standardise internal processes and documentation workflows

Requirements:

  • Exceptional organisation and attention to detail
  • Strong spreadsheet skills (Excel / Google Sheets)
  • Clear written and verbal communication
  • Ability to manage multiple workstreams independently
  • Comfortable working in a fast-paced fintech / technology environment

Nice to Have:

  • Experience in payments, fintech, or SaaS
  • Familiarity with merchant onboarding, KYC/KYB, or compliance documentation
  • Experience with project management tools (Asana, Motion, Linear etc.)
  • Previous experience supporting senior leadership or C-Suite
