We are seeking a proactive and highly organized Administrative Assistant to support the Principal in managing daily operations and ensuring a smooth, efficient school environment. This vital role combines administrative expertise with excellent communication skills, providing essential support to leadership and staff. Responsibilities

1. Performs diverse office-related managerial responsibilities within areas and limits of authority

2. Manages diverse office tasks as delegated by the Principal.

3. Organizes office activities and communications for the Principal.

4. Handles routine issues and emergencies for employees and students, making decisions independently or collaboratively.

5. Prepares and maintains various records and reports.

6. Inputs information into systems, ensuring accuracy.

7. Maintains confidentiality of sensitive school information.

8. Performs secretarial tasks like typing, word processing, proofreading, filing, and distributing correspondence.

9. Trains and directs office staff, streamlining school site workflow, and providing guidance as needed.

10. Acts as an information resource and liaison between schools and departments.

11. Provides timely and accurate information to students, parents, staff, and visitors.

12. Communicates with personnel and external agencies to exchange information and resolve issues.

13. Coordinates substitutes to ensure adequate coverage, providing necessary orientation and information.

14. Prepares and submits purchase and work orders.

15. Composes correspondence independently or with general instruction, following school procedures and policies.

16. Attends meetings and trainings, preparing minutes as required.

17. Updates and maintains multiple calendars, organizing appointments and meetings.

18. Assists in planning school events and field trips, arranging travel for personnel.

19. Tracks and orders school supplies and equipment, maintaining appropriate stock levels.

20. Operates office equipment like copiers, fax machines, radios, computers, and software

Qualifications

  • Proven office experience with strong clerical and administrative skills in a professional setting.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace (Gmail, Calendar, Drive).
  • Excellent organizational skills with keen attention to detail and accuracy.
  • Strong typing skills and computer literacy for efficient data entry and document preparation.
  • Bilingual abilities are a plus to effectively communicate with diverse community members.
  • Demonstrated professionalism in phone etiquette and customer service interactions.
  • Ability to manage multiple priorities simultaneously while maintaining a positive attitude.

Pay: $40,000.00 – $50,000.00 per year
