Position Summary
We are seeking a highly organized and detail-oriented Administrative Assistant to support our Project Manager(s) in the coordination and execution of wastewater construction projects. This role is essential in ensuring smooth day-to-day operations, accurate documentation, and effective communication across project teams.
Key Responsibilities
- Provide administrative support to the Project Manager and project team
- Maintain and organize project documentation, including contracts, permits, submittals, and RFIs
- Assist with scheduling meetings, site visits, and project timelines
- Track project progress and update internal reporting systems
- Coordinate communication between field staff, subcontractors, vendors, and clients
- Prepare and process invoices, purchase orders, and expense reports
- Assist with compliance documentation related to environmental and safety regulations
- Manage filing systems (digital and physical) for all project records
- Support bid preparation and proposal documentation as needed
Qualifications
- 2+ years of administrative experience, preferably in construction or engineering
- Familiarity with construction documentation (RFIs, submittals, change orders) is a strong plus
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook); experience with project management software is a bonus
- Strong organizational and multitasking skills
- Excellent written and verbal communication skills
- Ability to work in a fast-paced environment and meet deadlines
- High attention to detail and problem-solving ability
Preferred Qualifications
- Experience in wastewater, civil, or infrastructure construction
- Knowledge of compliance requirements (OSHA, environmental regulations)
- Associate’s or Bachelor’s degree in business administration or related field
