Position Summary
We are seeking a highly organized and detail-oriented Administrative Assistant to support our Project Manager(s) in the coordination and execution of wastewater construction projects. This role is essential in ensuring smooth day-to-day operations, accurate documentation, and effective communication across project teams.

Key Responsibilities

  • Provide administrative support to the Project Manager and project team
  • Maintain and organize project documentation, including contracts, permits, submittals, and RFIs
  • Assist with scheduling meetings, site visits, and project timelines
  • Track project progress and update internal reporting systems
  • Coordinate communication between field staff, subcontractors, vendors, and clients
  • Prepare and process invoices, purchase orders, and expense reports
  • Assist with compliance documentation related to environmental and safety regulations
  • Manage filing systems (digital and physical) for all project records
  • Support bid preparation and proposal documentation as needed

Qualifications

  • 2+ years of administrative experience, preferably in construction or engineering
  • Familiarity with construction documentation (RFIs, submittals, change orders) is a strong plus
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook); experience with project management software is a bonus
  • Strong organizational and multitasking skills
  • Excellent written and verbal communication skills
  • Ability to work in a fast-paced environment and meet deadlines
  • High attention to detail and problem-solving ability

Preferred Qualifications

  • Experience in wastewater, civil, or infrastructure construction
  • Knowledge of compliance requirements (OSHA, environmental regulations)
  • Associate’s or Bachelor’s degree in business administration or related field
