We are seeking a reliable and detail‑oriented Administrative Office Assistant to support the daily operations of our small business. This position requires strong communication skills, excellent organization, and the ability to manage multiple tasks efficiently. Responsibilities include providing administrative support, assisting customers, and maintaining a clean, organized workspace. The ideal candidate is proactive, professional, and comfortable interacting with both customers and team members.
Responsibilities
- Customer Service
- Answer, screen, and direct incoming phone calls.
- Greet customers and assist with questions regarding services, scheduling, and general inquiries.
- Provide customers with timely updates on vehicle status and service progress.
- Process customer payments accurately (cash, card, or other accepted methods).
- Respond to and distribute emails, memos, letters, faxes, and forms.
- Prepare invoices, reports, letters, financial statements, and other business documents.
- Perform accurate data entry and basic bookkeeping tasks.
- Maintain organized filing systems (digital and physical).
- Update and maintain office policies, procedures, and administrative systems.
- Order office supplies, track inventory, and research cost‑effective vendors.
- Keep the small office clean and tidy, including light cleaning such as wiping surfaces, organizing common areas, and maintaining a neat front desk.
- Multi‑task and prioritize daily responsibilities in a fast‑paced environment.
- Support management and staff with additional administrative tasks as needed.
Qualifications
- Strong ability to multi‑task, prioritize, and manage time effectively while maintaining professionalism and composure.
- Proficient in Microsoft Office (Excel, Outlook, Word).
- Excellent communication and customer service skills.
- High attention to detail and accuracy in data entry and payment processing.
- Previous administrative or office experience preferred.
- Proven office experience with strong organizational skills and attention to detail
- Experience with multi-line phone systems and excellent phone etiquette skills
- Bilingual abilities are highly desirable to serve diverse client needs effectively
- Familiarity with basic bookkeeping practices is a plus
- Strong typing skills with high accuracy; ability to perform data entry efficiently
- Excellent customer service skills with a friendly and professional demeanor
- Previous clerical or administrative experience
- Knowledge of office management procedures, filing systems, and proofreading techniques
Pay: $25.00 per hour
