POSITION SUMMARY
We are seeking an Administrative Assistant for a full-time position located in Baltimore, MD. Must be a Maryland resident. This is a hybrid role requiring the candidate to report to the office once per week. The specific day is flexible, but the candidate must have reliable transportation to ensure they can report to the worksite as needed.

Hourly rate: $15 to $17
Location: 1 N. Charles Street, 10th Floor, Baltimore, MD 21201
This role involves providing administrative and customer support through phone, in-person interactions, and back-office processes. The Administrative Assistant will be responsible for managing daily office operations, assisting customers, maintaining accurate records, and supporting case management activities. The ideal candidate must demonstrate excellent customer service, strong organizational skills, and the ability to manage multiple priorities in a fast-paced environment. Candidates should be detail-oriented, proactive, and committed to delivering high-quality service.
ESSENTIAL DUTIES AND RESPONSIBILITIES

  • Answer incoming telephone calls in a timely and professional manner
  • Welcome, assist, and sign in customers visiting the office
  • Provide customer assistance or direct inquiries to appropriate staff members
  • Schedule case screenings and follow up on customer documentation
  • Maintain and update case notes and work activities based on customer interactions
  • Enter and manage customer data accurately in proprietary systems
  • Scan, upload, and file electronic and physical documents securely
  • Process incoming and outgoing mail, including correspondence and documentation
  • Create and send communications via email and mail
  • Utilize Microsoft Office and internal systems to generate reports, mail merges, and task assignments
  • Maintain organized and secure filing systems for customer records
  • Support office operations, including inventory and ordering of supplies
  • Ensure compliance with security procedures, including visitor management and data protection
  • Assist Case Managers and management team with administrative and operational tasks
  • Identify workflow challenges and recommend process improvements
  • Maintain a clean, organized workspace in compliance with privacy regulations
  • Communicate professionally with customers, team members, and stakeholders
  • Participate in meetings, trainings, and team initiatives
  • Perform other related duties as assigned

EDUCATION & EXPERIENCE

  • High school diploma or GED required; Associate’s or Bachelor’s degree preferred
  • Previous administrative, clerical, or customer service experience preferred

PHYSICAL REQUIREMENTS

  • Prolonged periods of sitting and computer work
  • Must be able to lift or move up to 25 pounds
  • Work is performed in an office environment
  • Standard schedule: Monday–Friday, 8:00 AM – 5:00 PM (may vary based on business needs)
