We are seeking a tech-savvy, high-energy Administrative Assistant to support the Chief Operations Officer (COO) on the production floor in managing reporting, tracking project and order status, and coordinating documentation and materials necessary for timely order execution. This is a hands-on, active role in a working factory and warehouse—not a traditional desk job. You will be moving throughout the operation daily, working alongside embroidery machines, forklifts, and production teams in a fast-paced industrial environment. This role is ideal for someone who thrives in high-pressure, high-activity settings, takes initiative with modern technology tools, and can stay organized and effective while navigating a busy factory floor.
Work Environment
- Active factory and warehouse setting with embroidery machines, forklifts, and production equipment
- Noise level is moderate to high throughout the workday
- Tight, compact workspace requiring awareness of surroundings and safety protocols
- Constant movement required—you will be walking the floor, checking on orders, coordinating with production staff, and troubleshooting in real-time
- Not a quiet office environment—this is a working production facility
- Standing, walking, and physical presence on the floor are daily expectations
Key Responsibilities
- Provide direct administrative support to the COO and operations leadership on the production floor
- Move throughout the facility daily to track and report on the status of projects and client orders across departments
- Coordinate documentation, materials, and internal follow-ups to ensure deadlines are met while navigating the factory floor
- Create and maintain Excel-based reports and operational dashboards
- Utilize project management tools (Monday.com, Asana, or similar) to track workflows and deliverables in real-time
- Manage and organize digital documentation using cloud platforms (Office365, SharePoint, Zoho)
- Organize production files, operational records, and client information in centralized systems
- Be present on the floor to verify order status, material availability, and production progress
- Prepare meeting notes, task lists, and summaries for executive review
- Assist with streamlining systems and improving workflow efficiency through technology adoption
- Explore and implement AI tools and automation to improve operational efficiency
- Work closely with production teams, warehouse staff, and machine operators in a hands-on capacity
Required Qualifications
- Bachelor’s degree required
- Minimum 3 years of experience as an administrative assistant supporting senior or executive leadership
- Comfortable working in an industrial/manufacturing environment with noise, movement, and machinery
- Ability to stay focused and organized in a non-traditional, active workspace
- Highly proficient in Microsoft Excel (pivot tables, XLOOKUP, conditional formatting, data filtering, etc.)
- Strong proficiency with Office365 suite (Teams, SharePoint, OneDrive, Outlook)
- Experience with modern project management tools (Monday.com, Asana, Trello, or similar platforms)
- Familiarity with Zoho suite or similar business management platforms
- Comfortable learning and implementing AI tools and automation (ChatGPT, AI agents, workflow automation)
- Exceptional organizational, communication, and follow-up skills
- Experience in fast-paced factory, warehouse, operations, production, or logistics environments strongly preferred
- Ability to adapt quickly to new technologies and stay focused under pressure and in a busy production environment
- Physical ability to move throughout the facility, stand for extended periods, and navigate tight spaces safely
- Self-starter who researches and adopts new digital tools to improve efficiency
Excel Proficiency Requirement
Applicants must be highly proficient in Excel and will be required to complete an Excel test during the interview process. Please come prepared.
Compensation
Starting pay: $19-20 per hour
90-day performance review with opportunity for advancement
12-month performance review with opportunity for advancement
Work Schedule & Overtime
- First Shift 7:30AM-4PM OR Second shift 4PM-12:30AM
- Full-time, in-person role on the production floor
- Overtime required as needed, especially during high-volume periods
- High season runs January through June, with Saturday work expected through Q3 (September)
- All hours and compensation are handled in full compliance with North Carolina labor laws
