Position Summary

The Field Operations Administrative Assistant serves as the vital link between the office and our active job sites. This role is responsible for coordinating the logistical, clerical, and documentation needs of our precast erection crews, project managers, and field superintendents. The ideal candidate is a proactive problem-solver who thrives in a fast-paced construction environment and understands the critical nature of site safety and scheduling.

Key Responsibilities

1. Documentation & Compliance

  • Process and track Daily Field Reports (DFRs) and safety logs from various job sites.
  • Manage and update Safety Manuals, MSDS sheets, and OSHA compliance documentation.
  • Assist in the preparation of "Close-out Packages" for completed projects.

2. Logistics & Scheduling

  • Coordinate delivery schedules
  • Maintain the master field calendar, tracking crane rentals, equipment maintenance, and crew assignments.
  • Organize travel, lodging, and per diem for out-of-town erection crews.

3. Personnel Support

  • Manage weekly timesheet collection and verify hours against project budgets.
  • Coordinate required field training and certifications (e.g., Rigging/Signaling, Fall Protection, Aerial Lift).
  • Assist with the onboarding of new field personnel and subcontractors.

4. Procurement & Inventory

  • Process Purchase Orders (POs) for field supplies, PPE, and specialized erection hardware.
  • Track small tool inventory and coordinate repairs or replacements for field kits.

Required Qualifications

  • Experience: 2+ years of administrative experience, preferably within the construction, engineering, or heavy industrial sectors.
  • Technical Skills: Proficiency in Microsoft Office Suite (Excel is critical) and familiarity with construction management software (e.g., Procore, Bluebeam, or Sage).
  • Communication: Exceptional verbal and written communication skills to effectively bridge the gap between corporate executives and field labor.

Preferred Skills

  • Understanding of precast concrete terminology and erection sequences.
  • Bilingual (English/Spanish) is highly desirable to support diverse field crews.

Physical Requirements & Work Environment

  • Primarily an office-based role, but may require occasional visits to active construction sites (PPE provided).
  • Must be able to sit or stand for extended periods and lift up to 20 lbs (e.g., plan sets or supply boxes).
