About The Role
The Case Management Administrative Assistant is a fully remote position responsible for providing vital administrative support to the Regional Case Management team. This role involves managing healthcare authorizations, coordinating documentation, and facilitating effective communication between healthcare facilities, MCOs, and case managers. The position requires a detail-oriented individual with strong organizational skills who can thrive in a fast-paced healthcare environment. The assistant will play a crucial role in ensuring that authorization workflows are executed efficiently, which directly impacts patient care, facility operations, and compliance standards. The role involves verifying active authorizations, preparing review packets, submitting clinical reports, and tracking authorization statuses to ensure timely processing and updates.
Qualifications
- High school diploma or equivalent required
- Two (2) years of hospital or healthcare experience preferred
- Proficient with Electronic Medical Records (EMR) systems
- Proficient with Microsoft Excel, Office Suite, and Adobe PDF
- Strong organizational skills with the ability to meet strict deadlines
- Ability to perform effectively in a fast-paced environment
- Excellent written and verbal communication skills
Responsibilities
- Verify active authorizations and communicate status updates to healthcare facilities and Case Managers
- Track concurrent authorization due dates and ensure timely submission of documentation
- Build complete concurrent review packets for MCO submission, including authorization number, face sheet, insurance information, medical records, and therapy documentation
- Submit clinical packets and reports to MCOs via fax or electronic portals and upload confirmation pages into the EMR
- Monitor and track authorization reviews for extension requests and communicate updates to relevant parties
- Assist Case Managers and facilities with active authorizations, denials, and appeals processes
- Follow up on inactive authorizations for patients who remain admitted to ensure ongoing compliance and documentation
- Maintain accurate and organized documentation to support authorization workflows and reporting
- Perform additional duties as assigned to support team operations and compliance standards
