This position is for the Administrative Assistant division.

We are seeking a highly organized and detail‑oriented Administrative Assistant to support both the Norwood Motor Factory and the U.S. Sales Force. This role is responsible for managing day‑to‑day office operations, providing comprehensive administrative support, and ensuring efficient organizational processes across both teams.
- Serve as the primary administrative support for the Norwood Factory and the U.S. Sales Force.
- Provide general administrative assistance, including filing, data entry, calendar management, travel coordination, visitor reception, and front‑office telephone support.
- Manage the full onboarding and offboarding process for new hires and departing employees.
- Collect and distribute mail and oversee the ordering and maintenance of office supplies.
- Prepare professional communications such as memos, emails, invoices, and reports.
- Assist with planning and coordinating events, including tradeshows, customer visits, and factory training sessions.
- Support and manage logistics workstreams for scheduled sales events.
- Process expense reports and coordinate travel arrangements.
- Perform data entry and analysis; develop recommendations for process improvements and implement approved changes in accordance with company policies and procedures.
- Monitor and track fleet maintenance activities through the Wheels program.
- Utilize organizational resources responsibly and manage expenses in alignment with established budgetary guidelines.
- Interact and collaborate professionally with all members of the organization, as well as with external suppliers and clients/customers.
- Manage basic HR‑related responsibilities, including preparing welcome packages for new employees, administering onboarding documentation, and completing I‑9 employment verification.
- Serve as a backup Document Administrator as needed to ensure continuity of office operations.
- Participate in special projects as assigned and as reasonably required by the responsibilities of the role.
Qualifications:
- High school diploma or state-recognized GED required; Associate degree preferred
- Excellent organizational and interpersonal skills
- Proficient in Microsoft Office (Outlook, Word, Excel, PowerPoint, etc.)
- Experience with SAP (not required)
- Good verbal and written communication skills in English
